Description
The Payroll Specialist is responsible for processing accurate and timely payroll for a multi-state healthcare organization. This role requires strong expertise in multi-state tax registration, employment tax compliance, and payroll regulations, particularly within complex environments such as skilled nursing, post-acute care, or multi-entity healthcare systems.
Payroll Processing and Administration
- Process bi-weekly and/or weekly payroll for multi-state employees (hourly, salaried, per visit)
- Ensure accurate calculation of wages, overtime, shift differentials, and bonuses
- Review and audit payroll data for completeness and accuracy prior to processing
- Manage off-cycle payrolls, corrections, and adjustments
Multi-State Tax Registration & Compliance
- Lead state and local tax registrations for new jurisdictions as the organization expands
- Maintain compliance with all federal, state, and local payroll tax laws
- Monitor Nexus changes and coordinate timely registration and account setup
- Ensure proper employee tax setup based on work and resident states
- Partner with tax teams or vendors to resolve tax notices and discrepancies
Employment Tax Management
- Reconcile payroll taxes and ensure timely filing and payments
- Support quarterly and annual filings (941s, state returns, W-2s, W-2Cs)
- Manage year-end processes, including balancing and audit support
- Research and resolve tax issues, including amendments and corrections
Systems & Process support
- Enter and maintain sensitive data in payroll and timekeeping systems while maintaining confidentiality. (e.g., Workday, OSV, or Paylocity)
- Generate payroll and tax reports for internal stakeholders
- Assist with system implementations, upgrades, or integrations
- Ensure proper coding of earnings, deductions, and tax setups
- Assist with payroll system testing, upgrades, and process improvements.
- Follow established payroll procedures and internal controls.
Compliance & Audit
- Ensure compliance with FLSA, state wage laws, and healthcare-specific regulations
- Support internal and external audits
- Maintain documentation for payroll processes and tax registrations
Employee Support
- Respond to employee payroll and tax inquiries in a timely manner
- Assist with corrections related to pay, taxes, or deductions
- Protect the legal, financial, and moral well-being of Larry H. Miller Senior Health.
- All other duties as assigned.
Requirements
- 3 to 5+ years of payroll experience, preferably in healthcare or multi-entity environments
- Strong experience with multi-state payroll tax registration and compliance
- Knowledge of federal and state employment tax regulations
- Experience handling payroll for multi-state workforces (1000+ employees preferred)
- Proficiency with payroll systems (Workday preferred)
- Strong Excel skills
Preferred
- Experience in post-acute care, skilled nursing, or similar healthcare setting
- Certified Payroll Professional (CPP)
- Experience managing tax notices, W-2Cs, and state amendments
- Familiarity with rapid-growth or acquisition-heavy environments
Physical Requirements
- Required vision includes close, distance, and peripheral vision, as well as the ability to adjust focus.
- Prolonged periods of sitting at a desk and working on a computer.
- Maintain regular attendance and timeliness as set forth in the work schedule designated by the department supervisor/manager.
- Ability to communicate effectively, both orally and in writing.
- Ability to manage time effectively and meet strict payroll deadlines while managing other job responsibilities.
