The Administrative Assistant provides day to day operational and administrative support to the Executive Assistant for the CEO. This role is essential to ensuring the Executive Assistant remains fully available to the CEO for strategic leadership, external relationships, and high priority decision making.
A core responsibility of this role is research driven calendar and logistics support. The Administrative Assistant will help ensure the executive calendar is accurate, highly detailed, and fully actionable, serving as a reliable source of truth for meetings, travel, and daily movement.
This position is part time with flexible hours and is ideal for someone seeking hands on experience in executive operations, business administration, or leadership support.
Residential Requirements:
This position is subject to the residency requirements of the SBA Historically Underutilized Business Zone (HUBZone) program. The successful candidate must reside in a HUBZone-qualified area at the time of hire and for the duration of their employment.
Verification Requirements:
The residential address must be verified as "Qualified" using the official SBA HUBZone Map.
Responsibilities of the Administrative Assistant:
Conduct detailed research to support meetings and travel, including:
- Locations, addresses, venues, and meeting environments
- Travel routes, transit time, parking, arrival windows, and buffers
- Sequencing of meetings to account for realistic movement and timing
- Support a highly detailed executive calendar, ensuring calendar entries include:
- Accurate locations and logistics
- Context notes, contacts, and relevant reference information
- Clear indicators of priority and timing sensitivity
- Travel time and transitions are accounted for
- Changes, confirmations, and updates are promptly reflected
- Assist with travel research and logistics, including:
- Trip details, confirmations, and itinerary references
- Hotel, transportation, and reservation tracking
- Track special conditions, weather, or changes in programming details
- Assist with basic operational tracking, including:
- Expense or mileage coordination
- Invoice or billing follow ups
- Subscription, account, or login tracking

- Experience with Microsoft Office suite (Experience with Microsoft Teams is required).

Educational Requirements:
- An associate degree in business, operations, or a related field required.
- Experience in administrative support, executive assistance.
