The Office Manager / Rental Coordinator is responsible for overseeing daily office operations while coordinating vehicle rental activities to ensure efficient scheduling, accurate documentation, and exceptional customer support. This role serves as a key point of contact for internal teams and external customers, supporting administrative functions, rental logistics, and operational organization for Vantage Mobility.
ESSENTIAL FUNCTIONS:

- Manage day-to-day office operations, including administrative support, recordkeeping, and coordination of office activities
- Coordinate vehicle rental scheduling, availability, documentation, and customer communications
- Process rental agreements, invoices, payments, and related documentation accurately and timely
- Serve as a primary point of contact for customers regarding rental inquiries, scheduling, and issue resolution
- Maintain organized records for rentals, vehicle status, contracts, and compliance documentation
- Coordinate with internal departments to ensure vehicle readiness, delivery, and return processes
- Support reporting related to rentals, utilization, and office operations
Required Qualifications
- High school diploma or equivalent required; associate or bachelor’s degree preferred, or equivalent combination of education and experience
- Relevant administrative, office management, rental coordination, or customer service experience in a professional, production, or service-based environment
- Strong organizational, communication, and customer service skills
- Valid driver’s license and ability to meet company driving requirements, if applicable
Preferred Qualifications
- Experience coordinating rentals, logistics, fleet, or scheduling operations
- Familiarity with invoicing, billing, or basic accounting processes
- Experience working in the mobility, transportation, or automotive industry
Knowledge, Skills, and Abilities
- Ability to manage multiple priorities and meet deadlines in a fast-paced environment
- Strong attention to detail and accuracy in documentation and recordkeeping
- Proficiency with Microsoft Office and office management or scheduling systems
- Effective interpersonal, written, and verbal communication skills
