The Contracts Coordinator is responsible for coordinating the administration of MLS data licensing agreements, supporting contract management processes, and helping ensure the proper use of MLS data. This role serves as the primary point of contact for data licensing administration, maintaining accurate records, coordinating agreement workflows, supporting compliance efforts, and assisting with audits and reporting.
Working closely with executive leadership and cross-functional teams, the Coordinator helps protect the integrity and value of MLS data by ensuring licensing agreements are administered accurately, renewals are tracked, and compliance activities are documented and supported.
Key Responsibilities:
- Coordinate the intake, review, and processing of data licensing requests in accordance with established MLS policies and procedures.
- Maintain all data licensing agreements, including document organization, contract execution, renewal tracking, amendments, and lifecycle management.
- Coordinate the onboarding of approved data licensees and ensure required documentation is complete and maintained.
- Monitor licensing agreements for expiration dates, renewal requirements, and compliance milestones.
- Assist with audits of data licensees to verify compliance with contractual terms and identify potential issues for leadership review.
- Document and report potential misuse of MLS data, escalating concerns to executive leadership as appropriate.
- Support the preparation, revision, and organization of data licensing agreements, templates, and related documentation.
- Maintain accurate records within contract management systems and other internal databases.
- Serve as a resource for internal departments and external partners regarding data licensing processes and agreement status.
- Collaborate with Compliance, Technology, Product, and Member Services teams to support licensing initiatives and data governance activities.
- Stay informed on industry trends, MLS policies, and technology developments that may impact data licensing practices.
- Assist with special projects, reporting, and other administrative responsibilities related to data governance and licensing.
Qualifications:
- Associate's or Bachelor's degree in Business Administration, Legal Studies, Paralegal Studies, or a related field, or equivalent combination of education and experience.
- 2–4 years of experience in contract administration, legal support, compliance, business operations, or a related field.
- Experience working with contracts, document management systems, or licensing agreements preferred.
- Familiarity with real estate, MLS operations, or technology-related agreements is a plus.
- Strong organizational skills with exceptional attention to detail.
- Ability to interpret contractual language and follow established policies and procedures.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite and contract management or document management software.
- Ability to manage multiple priorities while meeting deadlines.
Preferred Skills:
- Experience working within an MLS, real estate, or PropTech environment.
- Knowledge of data licensing, intellectual property, or data governance concepts.
- Familiarity with contract lifecycle management systems.
- Strong analytical and problem-solving abilities.
- Ability to build positive working relationships with internal teams and external partners.
