We’re looking for a highly motivated Sales, Quality & Logistics Administrator that will bring a practical mindset, an eye for detail, and a genuine desire to help things run well. Applicants should be comfortable juggling multiple priorities and communicating clearly with both colleagues and customers.


This role’s primary responsibility is to serve as a point of contact for our existing and prospective customers who have inquiries about products, orders, and deliveries, and provide support to the procurement, quality, and sales teams. The successful candidate will enter purchase and sales orders into the ERP system, process inbound and outbound orders, and manage the ISO appointments. The candidate will be based out of Delft, Netherlands.


Job Responsibilities: 


Supply Chain & Procurement

  • Prepare purchase authorisation documents and coordinate approvals
  • Place orders with suppliers and keep documentation accurate and up to date
  • Confirm incoming deliveries in our ERP system and follow up on any delays
  • Build reliable relationships with suppliers to keep our supply chain on track


Quality & ISO Management System

  • Support our QSHE coordinator and information security officer with day-to-day tasks
  • Schedule management review meetings and track follow-up actions
  • Keep our annual review planning on schedule and ensure timely completion
  • Write clear meeting minutes and maintain documentation standards


Sales & Customer Service

  • Process sales orders in our ERP system and confirm them with customers by email or phone
  • Prepare quotes and check the accuracy of orders and invoices
  • Be a responsive point of contact for customers with product, order, or delivery questions
  • Liaise with logistics and operations to ensure on-time delivery
  • Maintain accurate customer, purchase, and sales records
  • Keep pricing data up to date in the ERP system

Requirements


  • MBO diploma or equivalent practical experience in administration or operations
  • At least 3 years of experience in a similar role (office administration, operations, or sales support)
  • Hands-on experience with Microsoft Excel and an ERP system (preferably Exact)
  • Strong organisational skills and the ability to manage competing priorities
  • Clear and professional communication, both written and verbal
  • Experience in a technical, industrial, or international company, preferred
  • Familiarity with ISO management systems or quality processes, preferred
  • Fluent in Dutch and English (spoken and written)
  • Eligible to work in the Netherlands without sponsorship

Additional Information

  • This is an on-site opportunity that must be performed from our offices in Delft, The Netherlands.
  • Must be eligible to work in The Netherlands without company sponsorship, now or in the future, for employment-based work authorization. F-1 visa holders with Optional Practical Training (OPT) who will require H-1B status, TNs, or current H-1B visa holders will not be considered. H1-B and green card sponsorship is not available for this position.


Compensation Range: A reasonable estimate of the current salary range for this position is 50,000 – 60,000 EUR/year.  Please note that the salary information is a general guideline only. AEM considers a wide range of factors such as (but not limited to) scope and responsibilities of the position, candidate's work experience, education, licensure and certifications, key skills as well as other market and business considerations when extending an offer. The disclosed range estimate has not been adjusted for the applicable geographic differential associated with the location at which the position may be filled.
