We are seeking an experienced and dynamic Office Admin to join our team. Deliver a best-in-class in-office experience by welcoming guests, coordinating employee events, and ensuring seamless scheduling across leadership, hiring, and team development activities. This role serves as the central hub of the office—supporting day-to-day operations, enabling executive effectiveness, and fostering a positive, connected workplace environment. 


Key Responsibilities:


  1. Front Desk & Office Experience: Serve as the first point of contact for visitors and employees, creating a professional, welcoming, and organized office environment. 
  2. Executive Support: Manage the President’s calendar, coordinating meetings, prioritizing requests, and ensuring efficient use of time. 
  3. Scheduling Coordination: Coordinate interviews, trainings, and new hire orientations, ensuring a seamless and timely experience for candidates and employees. 
  4. Employee Events & Engagement: Plan and execute in-office events, supporting team engagement and reinforcing company culture. 
  5. Translation & Employee Relations Support: Provide Spanish-English translation during employee interactions, including supporting employee relations conversations when needed. 
  6. Office Operations: Support day-to-day administrative needs including mail, supplies, vendor coordination, and general office organization.

  • The office consistently delivers a professional, welcoming experience for both employees and visitors 
  • The President’s calendar is well-managed, proactive, and highly efficient, with minimal conflicts or disruptions 
  • Interviews, trainings, and onboarding activities are coordinated seamlessly and executed on time 
  • Employee events are well-organized, engaging, and contribute positively to team culture 
  • Spanish-English translation is clear, accurate, and enables effective communication and timely resolution of employee matters 
  • Administrative and operational tasks are handled with consistency, ownership, and minimal oversight
Requirements
  •  2–4+ years in an administrative, office management, or coordinator role 
  • Experience supporting executives and/or managing office operations preferred
  • · Fluent in both Spanish and English (spoken and written) 
  • · Ability to translate clearly and professionally in real-time conversations
  • · Proficiency in Google Workspace (Calendar, Gmail, Sheets, Docs) or similar tools 
  • · Experience with scheduling tools and basic administrative systems

Salary Description
$45,000 - $55,000
