We are currently recruiting for full time benefit eligible Fleet Administrative Coordinator to join the busy Fleet Department in the corporate office in South Chesterfield, VA.

Job Description

The Fleet Administrative Coordinator role is generally supporting the fleet function but will also serve in the capacity as back up for additional administrative functions in others areas when needed.  Some of the items the Administrative Coordinator will focus on for the Fleet function will be:


Key Responsibilities:

  • Assist in managing the company's master database of vehicles and other rolling assets as related to technical requirements for GPS programs and driver compliance such as:
    • Title and register new/leased vehicles
    • Order/maintain smart tag toll passes for all vehicles
    • Organize and maintain electronic filing systems
    • Renew and update all title and annual commercial registrations (IRP)
    • Keep track and maintain DMV auto (non-commercial) registrations
    • Compile all fuel tax (IFTA) information for the fleet and file quarterly
    • Renew annual Unified Carrier Registration
    • Renew MCS-150 FMCSA Biennial Updates
    • File Heavy Highway Vehicle Use Tax (2290)
    • Maintain electronic fleet information databases, including registration, inspections and maintenance records
  • Miscellaneous typing, copying, scanning, faxing, emailing, etc. to assist team members
  • Perform data entry in various company software programs; maintain database records and compile reports from database as needed
  • Serve as back-up for other department personnel with differing responsibilities
  • Other duties and projects as assigned 
Requirements
  • High school diploma or equivalent required plus 1-2 years office/clerical support experience
  • Transportation Industry experience preferred and/or Utility industry experience in general
  • Excellent organizational skills for filing and record retention
  • Knowledge of business office operations; including filing and administrative clerical operations
  • Proficient with Microsoft Office programs, specifically in Word, Excel, and Outlook
  • Proficient with Office 365, SharePoint, OneDrive
  • Excellent written and oral communication skills
  • Ability to work independently and effectively with broad guidance
  • Strong attention to detail
  • Ability to learn quickly and adapt to new technologies/environments/situation
