Requirements
AV/VTC Conference Room and Conference Center Facilitators:
- Manages, prepares, and assists on-site an event in a single conference room
- Coordinate AV/VTC Dry Runs for all meetings. These dry runs are performed in-person with the customer
- Perform Daily “Morning Checks” for all unclassified and classified conference room and update reports to Leadership and on SharePoint.
- Technician required to preset the conf room 15 mins prior to customer arrival
- Daily review the Concierge Desk Calendars to ensure all customer meetings with AV/VTC requirements have been captured and the AV/VTC Tech has reached out to all customers.
- AV/VTC Technician is responsible for watching all VTC participant connection via the Cisco MCUs/Conductor.
- AV/VTC Tech late shift sends a “closing’ email to Team and Mgmt.
- Obtain meeting request orders, book meeting rooms and send confirmations to clients.
- Oversees meeting booking, cancellation, and postponement orders from customers for individual conference rooms
- Resolves booking conflicts and provides VTC dial in information to customer.
- Books AV/VTC customer needs on Outlook Calendars as required
- Performs regular inspections of meeting facilities to ensure lightings and AV equipment and other amenities work properly
- Set up and install equipment such as microphones, sound speakers, video screens, projectors, video monitors, recording equipment, connecting wires and cables to meet customers’ requirements for events and functions
- Integrates customer devices with conference room equipment
- Ensures equipment is installed according to designated layout
- Monitors sound feeds to ensure quality
- Tests and resolves equipment issues
- Maintains inventory of equipment
- Perform scheduling duties for VTCs and special events within the conference center
