Summary of Responsibilities
- The Chief Maintenance Scheduler is responsible for developing, maintaining, and continuously enhancing the Maintenance Planning and Scheduling workflow processes. This role ensures that all maintenance activities are planned, scheduled, and executed to optimize the operational efficiency of water treatment plants and related equipment. The Chief Maintenance Scheduler will collaborate closely with multiple departments to drive continuous improvements in the scheduling process.
Essential Duties
- Generate, plan, and schedule all maintenance activities, including repairs, preventive maintenance (PM), and predictive maintenance (PdM) work orders for water treatment plants and related equipment. Coordinate labor resources, monitor recurring PM/PdM activities, and align maintenance scheduling with operational needs to minimize disruptions.
- Adhere to and ensure all safety standards and rules as set forth by the company.
- Create, maintain, and communicate daily maintenance plans and visual schedules for all departments and stakeholders in collaboration with the Maximo Subject Matter Expert (SME), ensuring clear coordination of scheduled activities.
- Compile Key Performance Indicators (KPIs) and the daily maintenance plan into a weekly report to provide insights into maintenance activities and effectiveness.
- Continuously recommend and implement improvements in planning, scheduling, purchasing, data management, and job reporting systems to optimize effectiveness and efficiency.
- Review PM work with Chief Maintenance Crew Leads and owners to coordinate activities, materials, and schedules effectively.
- Responsible for tracking repair materials and updating crews and owners on material availability and status. Work in coordination with the Inventory Controller.
- Develop and implement procedures for responding to emergency maintenance situations, ensuring that resources and personnel are available to address critical issues promptly.
- Assist in the preparation and monitoring of the maintenance budget, ensuring that scheduling decisions are cost-effective and aligned with financial goals.
- Provide training and mentorship to the maintenance planning and scheduling team, ensuring that all personnel are proficient in the latest maintenance management practices and tools.
- Coordinate with external vendors and contractors to schedule and manage outsourced maintenance activities, ensuring alignment with internal schedules and standards.
- Ensure that all maintenance activities comply with relevant regulatory requirements and industry standards, maintaining accurate documentation for audits and inspections.

Minimum Qualifications
- Any combination of training and work experience which indicates possession of the skills, knowledge, and abilities to perform the job duties successfully.
- 4 years’ experience in maintenance planning and scheduling, preferably within the water treatment or utilities industry.
- Certification in Maintenance Management, such as Certified Maintenance & Reliability Professional (CMRP) or equivalent, is preferred.
- Strong knowledge of Computerized Maintenance Management Systems (CMMS), such as Maximo, SAP, or equivalent. Experience with predictive maintenance technologies and tools is a plus.
- Demonstrated ability to manage multiple projects simultaneously, with strong organizational and time-management skills.
- Proven leadership abilities, with experience in leading cross-functional teams and driving results through collaboration.
- Strong analytical skills with the ability to diagnose problems, identify solutions, and implement corrective actions efficiently.
- Excellent verbal and written communication skills, with the ability to effectively communicate with all levels of the organization, from frontline technicians to senior management.
- Ability to excel in a fast-paced, changing environment while staying results-focused.
- Must be willing to work in both office and field environments.
- Valid driver license with an acceptable driving record.
