Connected Logistics is hiring a Contracts Administrator that will report directly to the Company Contracts Manager and is responsible for providing cradle-to-grave subcontract administration support across a portfolio of Cost-Plus (CP), Firm-Fixed-Price (FFP), and Time-and-Materials (T&M) U.S. Government contracts in both prime and subcontractor capacities. The role requires comprehensive knowledge of all phases of contract administration and lifecycle management.
The Contracts Administrator will support the Contracts Manager in executing a wide range of contractual functions, including, but not limited to, reviewing agreements for accuracy, completeness, and compliance with company policies, procedures, and applicable federal regulations (e.g., FAR/DFARS). Responsibilities include assisting with the preparation of Requests for Proposals (RFPs), participating in the review and negotiation of Teaming Agreements, supporting contract award activities, and managing contract setup, administration, and closeout.
Additionally, the role involves administering and negotiating various agreement types, including subcontracts and consulting agreements. The Contracts Administrator will facilitate the end-to-end contract lifecycle by maintaining accurate documentation, monitoring key deliverables and deadlines, and ensuring adherence to internal policies and regulatory requirements.
Key Responsibilities
- Prepare procurement transactions, including draft, edit, review and format contracts, amendments, Teaming Agreements, Subcontract Agreements, Task Orders, Professional Service Agreements, Consultant Agreements, Modifications and related correspondence.
- Assist with the review and negotiation of Agreements in accordance with company policies, legal and contractual requirements, verifying accuracy, and resolving discrepancies in line with company rules and guidelines.
- Ensuring relevant documentation accompany contracts for flow down to subcontractors. Manage the routing of contractual documents for approval, signature, and final distribution to relevant stakeholders.
- Assist in the execution and management of the contracts department processes, monitor contract deadlines, renewal dates, and deliverables to ensure timely performance.
- Ensure contractual documents are issued accurately, professionally and on schedule.
- Monitors project activities and reports status.
- Perform data entry to update contract management tracking system, files appropriate documents and follows filing rules.
- Assists in the management and maintenance of contractual records to maintain accurate, organized electronic and physical filing for all contract documentation.
- Review and reconciliation of labor and travel invoices for accuracy and contract compliance in concert with the Company Project Controller.
- Update and maintain company contracts activity in AR/AP PCR workbooks.
- Maintains professional relationships internally and externally.
- Perform additional assignments with Contracts Manager direction and guidance.
- Minimum of five (5) years of experience in Contracts and/or Subcontracts Administration with contractor to the Federal Government, specializing in DoD contracting or related professional experience.
- Must possess a strong business background, is able to work independently as well as part of a team and must be a self-starter.
- Must be able to prioritize work activities in a fast-paced environment and effectively communicate at all levels within the company and subcontractors with attention to detail.
- Strong and effective communication skills to handle correspondence and explain terms, with the ability to develop and nurture internal and external relationships.
- Strong knowledge and proficiency in Microsoft Office Suite (MSWord, Excel, Outlook, etc.) is required.
- Knowledge of IDIQ, CPAF, CPFF, FFP, T&M and LOE, type of subcontracts, Task Order/Delivery Order, Multiple Award processes. Experience preparing and negotiating Teaming Agreements, Subcontract Task Orders and Modifications.
- Outstanding organizational skills and high level of accuracy and attention to detail in reviewing documents and data entry.
- Ability to perform multiple tasks efficiently and accurately.
- Able to identify, track and communicate project actions.
- Excellent reading and comprehension skills.
- Team player with the ability to work independently to meet fixed deadlines, goals and objectives.
- Working knowledge and understanding of Government acquisition, including FARs and DFARs.
- Knowledge of the business development proposal process.
Desired Qualifications
BA/BS degree in Business, Accounting, Finance, Contracting / Business related discipline from an accredited college or university or equivalent in work experience.
Knowledge of Deltek CostPoint .
Member in Good Standing of the National Contracts Manager Association.
Certified Professional Contracts Manager (CPCM).
