I. General Job Description


The Inside Parts Sales Representative is responsible for driving parts sales and supporting customer uptime by delivering accurate, timely, and professional service to both internal and external customers. This role owns the full transaction process, from identifying the correct part and confirming availability, to invoicing, payment collection, and managing returns, cores, and warranty claims.


Success in this role requires a strong sense of urgency, attention to detail, and the ability to operate in a fast-paced environment where accuracy and responsiveness directly impact revenue, customer satisfaction, and operational efficiency.


Responsibilities

  • Serve as the primary point of contact for customers at the counter and over the phone, delivering timely, accurate, and professional service 
  • Identify correct parts using electronic catalogs and business systems, ensuring accuracy, and minimizing errors or returns 
  • Provide pricing, availability, and sourcing options, including in-stock, inter-branch, and emergency orders 
  • Drive parts sales by proactively recommending related items, alternatives, and solutions to meet customer needs 
  • Process invoices and collect payment accurately and efficiently 
  • Manage returns, cores, and warranty claims in accordance with company and vendor requirements, ensuring proper documentation and recovery of credits 
  • Maintain organized and accurate inventory through proper binning, stocking, and housekeeping standards 
  • Support parts inventory control by identifying discrepancies, shortages, and slow-moving or obsolete parts 
  • Maintain a clean, organized, and customer-ready counter and retail display area 
  • Participate in ongoing training to build product knowledge and stay current on supplier offerings 
  • Support promotional efforts and customer outreach to drive parts sales and customer retention 
  • Represent the company in a professional and customer-focused manner at all times

II. Minimum Qualifications

  • 18 years of age 
  • High school diploma or GED 

III. Preferred Qualifications

  • 2 to 3 years of customer-facing sales experience, preferably in a dealership or heavy-duty parts environment 
  • Experience with dealership management systems (Karmak, CDK, Procede) 
  • Strong working knowledge of heavy-duty truck parts and components 
  • Ability to work independently in a fast-paced environment 
  • Strong communication, organization, and problem-solving skills

  • Organization: Ability to organize and prioritize work schedule on short-term basis (more than 1 month).
  • Reasoning & Decision Making: Ability to make decisions with moderate impact on immediate work unit.

  • Mathematics: Ability to add, subtract, multiply, divide, record, balance, and check results for accuracy.

Specific vision abilities required by this job include color vision, peripheral vision, depth perception, and the ability to adjust focus.


While performing the duties of this job, the employee is regularly exposed to moving mechanical parts and risk of electrical shock. The employee is frequently exposed to wet and/or humid conditions, extreme heat, and vibration. The employee is occasionally exposed to high, precarious places, fumes or airborne particles, toxic or caustic chemicals, and outside weather conditions. The noise level is normally loud.
