Description

Maine Veterans' Homes is seeking a detail-oriented and compassionate Unit Secretary to support the daily operations of our Residential Care department. This position works closely with the Residential Care Director to ensure accurate documentation, effective communication, and smooth coordination of resident care services.  This position is part-time, days, 30 hours per week.


The ideal candidate will have strong organizational skills, healthcare clerical experience, and the ability to provide excellent support to residents, families, and staff in a fast-paced long-term care environment.


Position Summary

The Unit Secretary assists the Residential Care Director with day-to-day clerical, administrative, and resident support functions, including data entry, medical record maintenance, scheduling coordination, communication management, and documentation in accordance with State, Federal, and VA regulations.


Key Responsibilities

  • Maintain resident medical and administrative records in accordance with established policies and procedures 
  • Complete admission, transfer, and discharge documentation accurately and timely 
  • Maintain current resident rosters and emergency contact information 
  • Answer phones, relay messages, and direct visitors appropriately 
  • Coordinate resident appointments and communicate scheduling updates with nursing staff 
  • Assist with medical records management and filing 
  • Monitor physician documentation and follow up as needed 
  • Report administrative concerns to the Residential Care Director and assist with corrective actions 
  • Respond promptly to resident needs and call lights as appropriate 
  • Assist with staff orientation and ongoing department support 
  • Perform CNA/CRMA duties as needed based on staffing and resident care needs 
  • Attend staff meetings and required trainings 
  • Perform other related duties as assigned

Qualifications

  • Active CRMA certification required 
  • Must hold a Personal Support Specialist (PSS) certification or an active Certified Nursing Assistant (CNA) certification in good standing on the State of Maine Registry 
  • Minimum of two years of experience or training in healthcare clerical or office procedures preferred 
  • Experience in long-term care or residential care strongly preferred 
  • Proficiency in spoken and written English 
  • Basic computer skills
