SUMMARY:
With the goal of enhancing lives, fulfilling dreams and building communities, this position serves as a hybrid commercial loan processor and loan documentation specialist—coordinating and processing commercial and business loan files from approval through closing while also preparing accurate commercial loan documents that reflect approved terms. The role partners with Relationship Officers, Underwriters, and Business Relationship Specialists to obtain required information, order and review third-party items, validate member and entity details, and support timely closings and collateral perfection.

- Provides effective and timely processing of commercial and business loan requests from approval through closing by partnering with Relationship Officers, Underwriters, and Business Relationship Specialists to obtain required information and move files forward.
- Reviews the loan approval/commitment and builds a closing checklist to ensure all conditions and stipulations are identified, obtained, and documented prior to closing.
- Validates and reconciles application/underwriting data (entity names, ownership structure, addresses, collateral details, insurance, and other key fields) to ensure documents and system records match approved terms.
- Schedules and coordinates closing logistics (signing method, settlement/closing agent contact, funds disbursement coordination, and required approvals) and provides timely status updates to Relationship Officers and other stakeholders.
- Reviews borrower/entity formation documents and authorization requirements (e.g., resolutions, operating agreements, partnership agreements, certificates of incumbency) to confirm appropriate titles, signing authority, and required evidence for closing.
- Orders, obtains, and reviews third-party reports/exhibits (e.g., title, flood, UCC, tax tracking, environmental screening) and escalates identified exceptions or risks in accordance with policy and approval requirements.
- Prepares commercial loan documents using approved documentation software and templates with minimal supervision, ensuring documents accurately reflect approved terms and comply with Numerica policies, procedures, and applicable regulations.
- Ensures collateral is properly documented and perfected by preparing and processing lien documentation (e.g., UCC filings, vehicle titles/registrations, and other required forms) and coordinating with members, vendors, agencies, and internal partners.
- Confirm the credit union’s real estate title perfection in accordance with approved loan terms by verifying the lien is accurately reflected on final title policies and escalating discrepancies or risks that may impact collateral position.
- Partner with title companies and closing agents to clear exceptions, coordinate payoffs to establish lien priority, and prepare/process subordination agreements and SNDAs as needed.
- Tracks and clears post-closing/trailing documentation (e.g., recorded instruments, final title policies, UCC acknowledgements, and insurance evidence) in accordance with policies and procedures.
- Provides subject-matter support to peers by sharing best practices, assisting with complex files, and helping onboard/train Business Loan Specialists as assigned.
- Maintains knowledge of and complies with BSA requirements and all applicable regulations, as well as internal policies and procedures related to commercial lending and documentation.
- Utilizes the primary computer systems of the credit union to access accounts, reports, complete data input, and ensure file completion in credit union long-term storage solution.
- Maintains knowledge and adheres to all BSA regulations and compliance standards on internal and external policies.

SUPERVISORY RESPONSIBILITIES:
This position has no formal, direct supervisory responsibilities although will work with leaders and peers in the organization to drive results.
PERFORMANCE STANDARDS:
Contributes to efficient department operations by assisting with general member service, operational tasks, and other duties as assigned. Supports the credit union’s mission by delivering responsive, accurate service to members and internal partners and by maintaining professional, respectful communication throughout the loan process.
Performs functions in an accurate and timely manner. Professional in appearance and attitude. Utilizes interpersonal skills effectively in a team environment. The results of decisions would only have marginal impact on current organizational results, customers or employees.
CERTIFICATES, LICENSES, REGISTRATIONS:
No requirement, a Notary License is desirable.
EDUCATION and/or EXPERIENCE:
Associates degree (A. A.) is preferred; plus 3 to 5 years’ experience in commercial and/or mortgage loan processing or documentation preparation at a credit union, bank, or other financial institution; working knowledge of loan documents, appropriate regulations, and Microsoft Office and Excel.
SKILLS and ABILITIES:
A significant level of trust and diplomacy is required, in addition to normal courtesy and tact. Work involves extensive personal contact with others and is usually of a personal or sensitive nature. Work may involve motivating, influencing or training others. Outside contacts become important and fostering sound relationships with other entities (companies and/or individuals) becomes necessary and often requires the ability to influence and/or sell ideas or services to others.
Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one on one and small group situations to employees and members of the organization.
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations.
Ability to accurately type information into computer system. General knowledge of state and federal lending regulations. Ability to read credit reports and knowledge of necessary loan documentation required for business loans offered by the credit union. Ability to operate general office machines and equipment such as: photocopier, fax machine, scanner, word processor, CRT unit, and printers. Ability to lift up to 25lbs.
