Supply Coordinator & Facility Assistant

The Supply Coordinator & Facility Assistant supports daily operations across Unity’s onsite and offsite locations by maintaining medical and operational supplies, coordinating inventory and equipment needs, and assisting with facility operations and maintenance. This position combines Supply and Facilities responsibilities and works under the direction of the Supply Coordinator Lead and Facility Manager, who report to the Product Services Manager.
This role is ideal for someone who enjoys variety in their day, values organization and efficiency, and can balance hands-on responsibilities with administrative and operational support.
***Some travel between Unity locations is required during working hours; a company vehicle is provided.***
Schedule: Monday-Friday 6:30 am - 3:00 pm. Participates in maintenance on-call shift rotation (shift times can vary based on coverage, but as a guide are generally between 5:00 pm and 6:30 am for 7 days. Every 3rd week is rotated along with an extra week of coverage every 3rd month.
Key Job Duties:
Supply Responsibilities
• Replenish office, kitchen, building, and medical supplies across onsite and offsite locations
• Fill and deliver medical supply requests in a timely manner
• Monitor inventory levels and coordinate reordering of supplies
• Troubleshoot delayed or back-ordered products and identify alternative solutions
• Maintain and organize supply rooms and supply stock areas
• Ensure supply totes are prepared for new employees
• Update vendor data and coordinate patient admission/discharge information for direct mail processing
• Review and process escalated supply requests outside standard criteria
• Perform quality checks on medical supplies and materials
• Clean, maintain, and monitor Unity-owned durable medical equipment
• Support cost management by working with vendors to obtain quality products at competitive pricing
• Verify incoming supply orders and assist with invoice allocation
• Monitor expiration dates and rotate stock appropriately
• Maintain Safety Data Sheets (SDS) and required documentation
• Track high-cost, OSHA-related, and specialty supply usage for reporting purposes
• Facilitate monthly Supply Orientation for new employees
• Prepare reports and monitor supply trends as requested
• Maintain and update department resources and communication platforms
• Organize returned supplies and coordinate pickup of donated items
• Monitor supply-related emails and electronic requests
Facility Responsibilities
• Visit workstations and contracted facilities to deliver supplies and maintain office readiness
• Set up and clean up meeting spaces and special events
• Maintain oxygen supply inventory at the Meng Residence
• Deliver and pick up mail, donations, and other items as needed
• Ensure copy paper, drinking water, cleaning supplies, and other workplace essentials remain stocked
• Perform snow removal and salting responsibilities according to procedure
• Monitor maintenance requests and assist with issue resolution and follow-up
• Support light maintenance and building-related responsibilities as assigned
• Perform weekly, monthly, and daily facility testing and readings, including water systems, generators, and exit lights
• Participate in the maintenance on-call rotation as needed\

Minimum Qualifications & Certification/Licensure:
- Valid WI Drivers’ License, reliable transportation, and proof of current automobile insurance coverage.
- High school diploma or GED required
- Related experience in medical supplies and/or maintenance duties
- Experience using technology, to include: Microsoft Office products, online ordering, pulling reports, and assessing data for accuracy.
