Ministerial Character 

The Pastor is the visible principle and foundation of unity at St. John Neumann, which the Bishop has entrusted to him.  He makes Christ’s mission present and enduring in the parish.  In order to fulfill his mission, the Pastor employs suitable, chosen collaborators (clerics, religious, or lay people).  He shares his mission with them and entrusts various responsibilities to them. 

The Disciple Development team partners with all staff and volunteers to foster spiritual maturity and intentional discipleship through relational ministry, faith formation programming, sacramental preparation, and outreach opportunities. The team encourages people from diverse walks, and at every point in their lives, to know the love of Christ and the freedom that comes from following His will.


Job Summary

As an integral member of the Disciple Development team, the Administrative Assistant serves as the first point of contact for parishioners and guests who seek to learn more about faith formation opportunities at St. John Neumann. The Administrative Assistant reports to the Director of Disciple Development and helps extend the ministries of the children, middle, high-school, and adult ministry evangelists by fulfilling a number of crucial responsibilities, including setting up spaces, managing registrations, coordinating ministry events, and assisting with volunteer recruitment, faith formation programs, and other important tasks, as assigned.  


This position is a full-time hourly role that requires the ability to work at the parish on Sundays from 8:30 am – 12:30 pm) and until 7:30pm on Wednesday evenings during the school year. Some additional weekend and evening hours to support retreats and special events may also be required.

Essential Job Duties

  • As an integral part of your ministry for the Church as carried out in this position, support and uphold the philosophy of Catholic ministry and the mission of St John Neumann Catholic Church in both your professional and personal life.
  • Act as a witness to Gospel values by modeling the teachings of the Catholic Church.
  • Continuously grow in your ministry by participating in religious ceremonies, training sessions, and reflection activities as directed.
  • Manage registrations and maintain accurate attendance records for catechesis and sacramental preparation through Ministry Platform (including youth and adult programs, First Reconciliation, First Holy Communion, High School Confirmation, Adult Confirmation, and OCIA)
  • Gather necessary documentation and update sacramental records, in partnership with the Sacrament Coordinator 
  • Coordinate Disciple Development sessions, events, retreats, and Vacation Bible School, with members of our Disciple Development and Parish Experience Teams
  • Schedule reservation of meeting spaces on campus through E-Space
  • Review website content once per quarter for accuracy and coordinate necessary updates with ministry and communications team members
  • Support youth and adult ministers in their efforts to recruit, train and celebrate volunteer core team members and catechists
  • Participate in team meetings and all staff functions as an integral member of the Disciple Development Team
  • Provide general office and administrative support, including research and ordering materials, e-mail communications, nametags and other necessary tasks
  • Assist Children’s Ministry Evangelist prepare rooms and materials for Sunday morning Children’s Faith Formation, Children’s Liturgy of the Word, Wednesday evening Family Faith Nights, and Friday evening Family Fun Nights
  • Serve, at times, as a substitute catechist in the classroom
  • Assist with Vacation Bible School, specifically in the areas of registration, volunteer coordination/management, training, ordering supplies 
  • Other responsibilities, as assigned by the Director of Disciple Development

Knowledge, Skills and Abilities

  • Strong attention to detail, organizational skills, and time management. 
  • Ability to prioritize tasks and meet important deadlines 
  • Proficient in the use of database management tools. Experience with Ministry Platform preferred.
  • Strong computer skills, including the use of Microsoft Outlook, Office 365, and Teams. 
  • Ability to update and maintain websites. Knowledge of e-Catholic preferred
  • Knowledge of Canva preferred

  • Ability to appropriately represent the parish to those who call, write, or visit. 
  • Excellent oral, written, and interpersonal skills

  • Knowledge of the structure and basic teachings of the Roman Catholic Church; Practicing Roman Catholic preferred

Minimum Qualifications

  • High School graduate and/or equivalent two years of relevant professional office administrative work experience required
  • Must maintain compliance with the Diocese of Austin Ethics and Integrity in Ministry (EIM) policies throughout the employment period. Initial training must be completed within 30 days of hire

Working Conditions

  • May be required to lift, move, or carry objects of up to 20 pounds
  • Work tasks require standing, walking, sitting, and bending
  • All employees of the Parish are engaged in ministry and closely tied to the Pastor in the exercise of his ministry and obligations to the church. 
  • The Parish is an at-will employer.
  • Will be required to adhere to established dress codes and conduct standards.
