GENERAL DESCRIPTION
The Workforce Coordinator is responsible for supporting the day-to-day implementation of statewide workforce initiatives connected to grant deliverables, including coordination for workforce pipeline strategies, digital resource development (such as best practices, case studies, career profiles, and healthcare workforce data dashboard), and supporting an annual virtual healthcare career fair.
This position will provide administrative support and project coordination, draft communications, and collect, verify, organize, and maintain digital content that supports students, schools, healthcare employers, education partners, network partners, and other workforce stakeholders.
JOB RESPONSIBILITIES
Project Coordination and Administrative Support
- Provide general administrative support to ensure project activities remain organized, timely, and aligned with contract expectations
- Maintain project timelines, tracking tools, contact lists, documentation, and partner information
- Complete assigned project and administrative tasks under the direction of workforce leadership and project leads
- Coordinate meetings, including scheduling, agendas, materials, minutes, and follow-up
- Coordinate and prioritize multiple assigned tasks and deliverables while maintaining organized workflows and timelines
- Support internal and external communication with healthcare employers, education and network partners, and other stakeholders
- Assist with organizing project materials, deliverables, reports, and documentation
Workforce Pipeline and Partner Support
- Support technical assistance activities related to workforce pipeline strategies
- Assist with organizing resources, tools, and examples that help partners strengthen healthcare career pathways
- Coordinate partner input, feedback, and review processes for workforce resources and digital content
- Help connect partners to relevant workforce data, best practices, career awareness materials, and implementation examples
- Support engagement with education, healthcare employers and network partners and other workforce stakeholders
Digital Resource and Content Development
- Collect, verify, organize, and maintain digital content that supports statewide workforce initiatives
- Assist in preparing best practices, case studies, career profiles, and other statewide digital resources
- Conduct ongoing research and updates to ensure workforce resources, tools, and digital assets remain current and relevant
- Support website and digital resource updates, including maintaining links, uploading documents, and organizing content
- Use design and communication tools, including Adobe InDesign when needed, to support resource development
- Review digital content for accuracy, clarity, consistency, accessibility, and usability
Communications and Presentations
- Draft initial communications, including newsletters, meeting agendas, minutes, partner messages, and other written materials
- Support development of PowerPoint presentations, one-page summaries, reports, and visual updates
- Assist with translating project activities, partner examples, data, and outcomes into clear written and visual materials
- Ensure communications are accurate, professional, timely, and aligned with organization’s voice and brand
Data Dashboard and Reporting Support
- Support activities related to the healthcare workforce data dashboard
- Assist with organizing, updating, and communicating workforce data and related resources
- Help prepare summaries, visuals, and materials to make workforce data easier for partners to understand and use
- Support reporting activities by compiling updates, outcomes, documentation, and project milestones
- Assist with grant and contract reporting, including first drafts, supporting materials, and deliverable tracking
Virtual Healthcare Career Fair Support
- Support planning, coordination, and operation of the annual virtual healthcare career fair
- Assist with partner and sponsor outreach, participant communications, event materials, logistics, and follow-up
- Help organize employer, education, and student-facing resources for the event
- Support post-event documentation, evaluation, and reporting
Organizational Support
- Collaborate with team members across the organization to support workforce and priorities
- Demonstrate excellent customer service to colleagues, partners, and stakeholders
- Support continuous improvement of internal processes and external project activities
- Ensure proper use and protection of information assets by complying with organizational privacy and security policies
- Other duties as assigned

Preferred Skills, Knowledge, and Abilities
- Experience with Adobe InDesign or similar design software
- Experience with website content management or digital resource development
- Experience in healthcare workforce, rural health, education, nonprofit, or workforce development settings
- Familiarity with healthcare career pathways, workforce data, or labor market resources
- Experience supporting grants, contract deliverables, reporting, or partner-facing initiatives
- Experience drafting newsletters, articles, case studies, career profiles, or other external communications
Physical Requirements
- Type/use a computer for extended periods of time
- Participate in virtual and in-person meetings as needed
- Travel by car for meetings within driving distance and by plane for out-of-town meetings
- Lift and move light-weight items such as computer hardware, files, conference tables/chairs, and boxes, etc.
EDUCATION/CERTIFICATION REQUIREMENTS
- Associate degree in a related field required; Bachelors’ degree preferred
- 3 – 5 years related experience, in lieu of education, will be considered
