Description
HOW YOU WILL IMPACT THE BIG PICTURE:
The Operations Coordinator supports EWTN News leadership by managing team coordination, logistics, and operational workflows with a focus on efficiency and communication. This position bridges multiple functions, including HubSpot management, contract tracking, and event planning, to enhance organizational effectiveness.
WHAT YOU WILL DO:
- Support the COO and Strategic Operations Managers of EWTN News by drafting memos, briefs, and correspondence, as well as calendaring, meeting preparation, expense routing.
- Support Digital Marketing and advertising initiatives through email and e-blast execution; maintaining list hygiene and performance reports; track YouTube analytics, revenue, and projections.
- Maintain the master contract and subscription tracker; flag upcoming renews as needed.
- Serve as first point of contact for inbound internal and external requests directed to the COO and Strategic Operations Manager; draft responses appropriately.
- Partner with administrative team to support office management, coordinate meeting logistics, track cross-functional deliverables, and support billing-related tasks.
- Collaborate with teammates for special events planning for both on and off-site.
- Draft and maintain standard operating procedures; identify process gaps and recommend practical improvements.
ABOUT YOU:
- You have a minimum of three to five years of prior experience in operations, administrative, or coordinator roles, ideally in media, publishing, or a mission-driven organization.
- You have a BA in Journalism, Communications, or other related field.
- You are a practicing Catholic with an understanding of the faith and a strong commitment to EWTN’s mission.
- Mid-level HubSpot experience or demonstrated ability to learn HubSpot quickly; ability to work efficiently with email workflows, list management, and basic reporting; proficient working with the Microsoft 365 suite.
- Excellent written and verbal communication skills, with the ability to draft professional correspondence on behalf of leadership.
- A pro-active self-starter with a can-do attitude and a strong work ethic.
- Highly organized and detail-oriented; able to multi-task at a high level to manage multiple priorities across competing stakeholders.
- Comfortable using AI tools to accelerate routine work; prior experience using Copilot, ChapGPT or equivalent is preferred.
- Ability to work with discretion and project a professional demeanor at all times; proven ability to handle confidential information.
- Flexible to work an adjusted schedule when necessary, for events and special projects.
PREFERRED QUALIFICATIONS:
- Bilingual; proficiency in reading/writing/speaking in any language(s) in addition to English; Spanish is preferred
- Experience supporting executive-level leaders
- Familiarity with monday.com or equivalent project management tools
