JOB DESCRIPTION:
California State Parks Foundation (CSPF) seeks a part-time Membership Assistant to help support the daily operations of our membership and donor programs. This role is an important part of the Membership team, focused on ensuring accurate gift processing, timely donor acknowledgments, and responsive customer service to our members and supporters.
This position is based in our San Francisco office located at 235 Montgomery St, Suite 1202, San Francisco, CA 94104, and requires in-person work. Additional days may be required based on business needs. Remote or hybrid schedules outside of this structure are not available for this role.
Reporting to the Member Stewardship Manager, the Membership Assistant will be responsible for processing donations across multiple platforms, maintaining accurate records, preparing fulfillment files, and providing day-to-day support to help meet stewardship and service goals. This position will interact regularly with members and donors, helping ensure a positive experience with California State Parks Foundation.
This is a part-time, non-exempt position based in the Bay Area with some travel required. The role is eligible for overtime as approved.
RESPONSIBILITIES:
Member Services (50%):
- Provide excellent customer service by responding promptly and professionally to member and donor inquiries via phone, email, and mail.
- Answer membership and general phone lines; route calls and messages to appropriate staff as needed.
- Monitor and respond to messages in shared inboxes, ensuring timely follow-up.
- Support administration of day-use passes, including issuing passes, responding to member inquiries about eligibility and access, and maintaining accurate records
- Process removal requests for email and mail communications and update records accordingly.
- Prepare, print, and mail acknowledgment letters and membership benefits packages.
- Send removal and acquisition updates to external mail vendor (MMI).
Membership Operations (50%):
- Accurately enter membership and donor gifts into Salesforce, including lockbox batches, in-house checks, online gifts, and credit card transactions.
- Prepare and batch daily data files for Salesforce import, following established formatting standards.
- Monitor gift entry for accuracy and flag any discrepancies.
- Assist with reconciling gift data between platforms as needed.
- Open and sort daily mail; distribute to appropriate staff.
- Scan, file, and maintain organized digital and physical donor records.
- Other duties as assigned.

- Data entry experience preferred.
- Salesforce experience preferred.
- Customer service experience preferred.
- Willing to travel and/or attend events across California, sometimes on weekends or evenings, as necessary.
- Proficiency in Microsoft Office, Slack, Asana and CRM technology.
- Experience launching new ideas or driving process improvements.
- Demonstrated awareness and sensitivity to the needs and concerns of individuals from diverse cultures, backgrounds, and orientations.

COMPENSATION:
This is a part-time, non-exempt position up to 20 hours per week, requiring a minimum of 4 days per week with flexibility in the number of hours worked each day. The hourly rate for is $30.77 per hour. You may also be eligible for overtime (any work above 8 hours a day and 40 hours a week), and your overtime rate is $46.16 per hour. You may also be eligible for double time, and your double time rate will be $61.54 per hour. Regular, overtime and double overtime are pursuant to state, federal and the Organization’s guidelines.
This position is eligible for the following employee benefits, participation in 401k retirement plan, participation in pre-tax commuter benefits, accrue vacation and sick time on pro-rated basis, eligible for holiday pay that falls on days worked, and birthday holiday.
