General Description
The Title Clerk is responsible for processing vehicle title applications, maintaining the titles for in-stock vehicles and purifying the title fee schedule.
Duties and Responsibilities:
- Verify that funds have been collected and the correct lien holder paid off before processing title applications.
- Check for accuracy In the application and complete any missing items.
- Keep management and the sales department informed of all title regulations.
- Maintain either a documentation manual or computer inquiry system to verify out-of-state titles.
- Perform a monthly “title to vehicle” inventory check and report to management any missing titles and their status.
- Purify the title fees schedule and provide management with a listing of any uncollected fees. Refund any excess fees according to management’s guidelines.
- Provide periodic training sessions to F&I managers and sales personnel about title regulations and procedures. Issue written memo whenever regulations change.
- Attend seminars held by local licensing bureaus and any available training meetings on title regulations.
- Mail title work to customer in a timely manner
- Collect all lien releases for trade titles
- Obtain license plates for lease deals
- Pay Illinois tax, title and license for all Illinois deals
- Send out red folders to salesmen for deals that are missing items
- Maintain logs for titles needed, lien releases needed and purchase titles needed
- Make sure that all titles are filed away properly in the title books
- Prepare and apply for duplicate titles when needed
- Make sure the deal file is complete before delivering paperwork to the customer
- Accomplish other tasks as required by management.
Requirements
Skills Required and Physical Demands:
- Excellent math and verbal skills. These skills may be tested and evaluated.
- At least one year of accounting or licensing agency experience.
