Title & Logistics Coordinator
Description

Key Responsibilities 

  • Title Processing & Compliance: Process titles, liens, registrations, and related documentation for all sold equipment. Obtain and process lost or missing titles through state DMV offices and appropriate channels. Ensure all paperwork meets state and federal regulatory requirements. Resolve title issues, odometer statements, and lien releases efficiently while maintaining full compliance with DMV, state, and company policies. 
  • Shipping & Logistics Coordination: Coordinate transportation, loading, and delivery of equipment with carriers and yard teams. Arrange shipping quotes, book freight, and manage logistics partners. Track shipments and provide proactive status updates to sales teams and customers. Oversee proper loading, securing, and export documentation when required. 
  • Documentation Accuracy & Record Management: Prepare and review Bills of Sale, title transfers, shipping manifests, and export packets. Maintain organized digital and physical records for all transactions. Ensure accurate inventory updates after shipments and support audits by keeping complete and audit-ready documentation. Scan and file 100% of daily paperwork. 
  • Customer Delivery Support & Issue Resolution: Serve as the main point of contact for customers regarding title and delivery status. Troubleshoot and resolve shipping delays, title problems, or documentation issues. Coordinate with the sales team to ensure a smooth handoff and positive customer experience. Collect delivery confirmations and customer feedback. 
  • Process Efficiency & Team Collaboration: Continuously improve title and logistics processes to reduce bottlenecks. Work closely with Sales, Yard, and accounting teams. Maintain accurate records in company systems and provide weekly logistics and title status reports along with market feedback on shipping costs and carrier performance. 
Requirements

Qualifications 

  • Proven experience in title processing, logistics coordination, or administrative support in equipment, automotive, or transportation industries preferred. 
  • Strong attention to detail with excellent organizational and problem-solving skills. 
  • Familiarity with DMV processes, title regulations, and shipping documentation. 
  • Ability to thrive in a fast-paced environment and manage multiple priorities effectively. 
  • Strong communication skills and a customer-focused mindset. 
  • Proficiency in Microsoft Office, Google Workspace, and company management systems (training provided). 
  • Self-motivated with a proactive, can-do attitude. 
  • High school diploma or equivalent; additional education or certifications in logistics/title management is a plus. 
  • Valid driver’s license (occasional yard or local visits may be required).
