Position: Site Manager

Schedule: Monday - Friday, Day Shift

Location: Multiple Locations within the Metro Area (Travel Required)

No Weekends, No Holidays!

Job Summary

The Site Manager is responsible for the administrative and operational oversight of the assigned clinic location. This role ensures smooth daily operations, high-quality patient care, team engagement, and efficient management of staff and resources. Key focus areas include front office performance, clinic schedule optimization, collections at time of service, and overall patient satisfaction. The Site Manager plays a vital role in supporting a culture of teamwork, accountability, and excellence.


Key Responsibilities:


1. Team Engagement & Supervision

  • Supervise and support all clinic and optical staff at the assigned location
  • Lead regular team meetings to communicate goals, updates, and expectations
  • Promote a positive work culture through team-building and recognition efforts
  • Conduct timely performance evaluations and coaching conversations


2. Front Office Financial Performance

  • Ensure staff are trained in collecting payments, co-pays, and balances at time of service
  • Monitor front desk workflows and collection metrics
  • Address billing questions and payment concerns with professionalism


3. Clinic Schedule Optimization

  • Manage appointment schedules to maximize clinic productivity and minimize downtime
  • Oversee patient flow and coordinate real-time schedule adjustments as needed
  • Review appointment data to identify trends and areas for improvement


4. Patient Experience & Satisfaction

  • Uphold a high standard of patient care and service excellence
  • Promptly resolve patient concerns and service issues
  • Implement and act on patient feedback initiatives
  • Ensure a clean, welcoming, and organized clinic environment


5. Operational Oversight

  • Ensure compliance with company policies and procedures
  • Train and onboard new front office employees
  • Manage staffing needs and coordinate daily coverage
  • Support equipment functionality and resolve basic IT issues (e.g., printers, phones, computers)
Requirements

Qualifications: 


Education & Experience

  • High school diploma or equivalent required
  • Associate’s degree or two years of college coursework preferred
  • Minimum of 3–5 years of experience in an ophthalmology or medical practice setting

Physical Requirements

  • Ability to frequently lift/move up to 15 pounds and occasionally up to 50 pounds
  • Able to walk a minimum of two blocks and frequently transition from sitting to standing
  • Manual dexterity for typing, writing, reaching, and squatting
  • Must have the ability to see clearly and communicate effectively
  • Extended use of computer and telephone equipment daily
