As the Office Manager at Pulse Chiropractic, you will be the welcoming face and organizational backbone of our clinic. Your role is essential in delivering an exceptional patient experience—from the moment someone walks through our doors to the completion of their care. You’ll manage appointments, verify insurance, and ensure smooth communication between patients and our clinical team. Your professionalism, attention to detail, and warm demeanor will help create the seamless, supportive environment that defines Pulse Chiropractic.
Key Responsibilities
- Warmly greet and assist patients, fostering a friendly and professional atmosphere.
- Coordinate appointment scheduling to maximize therapist availability and maintain efficient clinic flow.
- Verify insurance coverage, manage authorizations, and address related patient questions with clarity and professionalism.
- Respond promptly to phone calls and emails, providing accurate information, scheduling assistance, and resolving concerns.
- Maintain meticulous patient records, including demographics, medical history, and treatment plans, in our electronic health record (EHR) system.
- Partner with physical therapists and clinic assistants to ensure effective communication and an outstanding patient journey.
- Process patient payments and reconcile daily transactions with accuracy.
- Meet regularly with the Clinic Leader to review operations, address challenges, and maintain clinic efficiency.
- Maintain a clean, organized, and professional front office environment.
- Monitor office supply levels, place orders, and coordinate with vendors for equipment upkeep.
- Support the implementation and improvement of office policies and workflows to enhance patient care and operational efficiency.
Qualifications
- Previous experience as a front office coordinator, receptionist, or similar role—healthcare experience preferred.
- Strong organizational skills with proven ability to manage multiple tasks efficiently.Excellent interpersonal and communication skills for interacting with patients, families, and healthcare staff.
- Proficiency with EHR systems and standard office software.
- Working knowledge of insurance verification and authorization processes.
- Commitment to maintaining confidentiality and adhering to HIPAA regulations.
- Empathy, patience, and a positive attitude in all patient interactions.
- Flexibility to adapt to changing priorities in a fast-paced environment.
