We are seeking a highly organized, versatile, and proactive Corporate Administrative Officer to serve as the operational backbone of our corporate headquarters. In this multifaceted role, you will blend administrative and event support, with executive/board relations to ensure seamless day-to-day operations.
Key Responsibilities
Corporate Administration & Office Management (80%)
- Provide general administrative support for corporate HQ operations.
- Manage the main call line and reception of the HQ office.
- Manage corporate mail and package deliveries, including return mail.
- Assist with corporate and team events and activities.
- Order awards for quarterly sales achievements as well as ad hoc recognition requests.
- Oversee the procurement, maintenance, and distribution of office supplies and stationery for the Bank’s headquarters, including the shredding company pick-ups, container management, etc.
- Triage inquiries from website and relay to appropriate departments.
- Perform notarial services as needed.
- Maintain the event calendar and support communication with employees.
Executive Support (10%)
- Provide general administrative support to the CEO and Executive team, including calendar management, coordinate travel and accommodations, prepare monthly expense reports and process/reconcile invoices and receipts.
- Manage incoming and outgoing mail, phone calls as needed.
- Serve as a liaison between the President/CEO, Executive team, board of directors and external stakeholders.
- Assemble presentation materials of pitch books as needed.
- Arrange appointments and meetings as requested; track and reserve various conference rooms for meetings. Prepare the rooms for meetings and coordinate logistics for attendees.
- Coordinate quarterly all-staff meetings for the President/CEO.
- Prepare and distribute various daily, weekly, and monthly reports as needed.
Board of Directors Support (5%)
- Provide liaison administrative support for Board of Directors’ communications.
- Provide support for meeting logistics, meals, and room set-up for monthly board meeting.
- Assist board members with travel and accommodation arrangements for meetings, as necessary.
- Provide administrative support for annual meeting of shareholders.
Community Engagement & External Relations (5%)
- Support the Bank in community outreach efforts and participation in local events and initiatives.
- Administrative duties related to the Virginia Bank PAC program.
- Five years of experience in an administrative role
- Proficiency in Microsoft Office Suite
- Disciplined administrator with strong critical thinking skills
- Excellent written and verbal communication skills
- Exceptional organizational and time management skills
- Demonstrated ability to handle confidential information with discretion
- Detailed-oriented with strong analytical abilities
- Proactive, with the ability to anticipate needs and solve problems independently
- Strong interpersonal skills and the ability to work effectively with senior leadership.
- Eligible to become a commissioned notary public in the Commonwealth of Virginia
- Access to a vehicle for travel within local area.
