The Executive and Development Coordinator will contribute to Outward Bound California’s mission by providing efficient, personalized, and timely support to the Executive Director, the Board of Directors, and the Development Team.

Compensation & Schedule
- This is a Part-Time, Non-Exempt, Hourly position at approximately 90 hours per month.
- Start date as soon as possible but we're willing to work with people's schedules
- Wage commensurate with experience within the anticipated range of $27-$30/hour

Who We Are
We are Outward Bound California (OBCA). Through challenging outdoor experiences, we teach social-emotional skills like teamwork, leadership, confidence, and compassion. We offer a wide range of programs, including high/low ropes activities at our San Francisco Challenge Course and multi-day rock climbing/backpacking trips in the High Sierra or Joshua Tree. Our programs help our participants (ages 12+, including adults and veterans) embrace challenges and reflect on how they want to contribute to their communities and the world.

Qualifications
- 2+ years of experience in an administrative support role
- Strong verbal and written communication skills
- Proficiency in Google Workspace
- Experience using Salesforce (or willingness to learn)
- Excellent organizational skills and attention to detail
- Experience managing multiple deadlines and projects simultaneously
Preferred Skills
- Exposure to nonprofit fundraising or development, with interest in deepening knowledge of donor cultivation, acknowledgment strategies, and development operations
- Basic familiarity with Salesforce or CRM tools, with eagerness to build proficiency in database management and donor record-keeping
- Interest in board governance and nonprofit leadership structures, with a desire to grow into a trusted partner for board coordination and engagement
- Strong foundational writing skills with curiosity about crafting donor-facing communications and developing an organizational voice
- Beginning experience with event or logistics coordination, and enthusiasm for growing into managing complex, multi-stakeholder gatherings like board off-sites
- Interest in major gifts or donor strategy, with willingness to participate in and eventually contribute meaningfully to high-level fundraising conversations
- Curiosity about equity-centered organizational culture, with a desire to deepen their understanding of how identity, access, and inclusion shape both programs and internal team dynamics
Duties and Responsibilities
Executive Director Support (33%)
- Help track & manage the ED’s projects and priorities; facilitate progress toward goals.
- Support with logistics, scheduling, presentation materials, and communication for internal and external meetings.
- Send occasional communications on behalf of the ED, reflecting the ED’s voice.
- Prepare and submit monthly expense reports and reimbursement requests.
- Assist in maintaining records of the ED’s donor cultivation calls and meetings in Salesforce.
- Support with scheduling and coordination of the ED’s meetings with donors and board members.
- Support travel arrangements, including bookings, itineraries, and expense reporting
Development Support (33%)
- Manage donor acknowledgments flow to ensure donors receive appropriate and timely acknowledgments, tagging in the Development team as needed.
- Attend weekly Development Team meetings.
- Attend and support weekly Major Donor strategy discussions.
- Support in the maintenance of donor and donation records in Salesforce.
- Support with administrative tasks, content writing, and other special projects as assigned by the Director of Development.
Board of Directors Support (33%)
- Attend Board meetings, record minutes, and manage documents in Google Drive.
- Manage Board communications, ensuring members are informed of relevant meeting details and logistics.
- Coordinate materials for, prepare, and share board meeting packets, minutes, and the Board calendar.
- Attend and coordinate committee meetings, take notes, and partner with committee chairs to track priorities and complete important tasks.
- Support the recruitment process and onboarding of new Board members.
- Maintain all board-related documents (e.g. the contact list, committee list, charters, and by-laws) in the Google Drive.
- Coordinate locations for all board meetings.
- Coordinate annual board off-site and holiday party.
