As an Event Intern, you'll work alongside experienced event professionals and gain exposure to every stage of the event process—from responding to inquiries and supporting client planning to helping execute extraordinary events on-site. The Event Intern provides administrative and operational support to the Events and Catering team during high-volume event seasons. This position offers hands-on experience in event planning, client communication, hospitality operations, and event execution. The Event Intern will assist with a variety of pre-event, event-day, and post-event responsibilities to help ensure exceptional guest experiences and successful event outcomes.
This role is ideal for a student or emerging hospitality professional interested in gaining practical experience in event management, catering sales, and hospitality operations.
PRIMARY DUTIES AND RESPONSIBILITIES:
Event Administration & Client Support
- Assist with responding to event inquiries and leads in a timely and professional manner.
- Process client payments and maintain accurate records.
- Assist with invoice actualization and final billing procedures.
- Prepare and send client thank-you communications following events.
- Create event packets and materials for client tours and consultations.
- Assist with creating and updating Restaurant Event Order (REO) menus.
- Update, organize, and distribute weekly BEO and REO reports.
- Maintain event files and ensure accurate documentation throughout the planning process.
Event-Day Support
- Create and prepare event signage, including directional, menu, and bar signage.
- Welcome and direct vendors, suppliers, and event partners upon arrival.
- Answer phones and assist with guest, vendor, and client inquiries.
- Verify that event spaces and table settings are properly prepared according to event specifications.
- Assist with event setup details, including place cards, favors, guest amenities, and special event requests.
- Support area setup, including food and beverage arrangements.
- Provide general operational support to Event Managers and Catering Sales Managers as needed.
Restaurant & Hospitality Support (as business needs require)
- Assist at the host stand during daytime operating hours.
- Answer incoming phone calls and assist with guest inquiries.
- Process gift card sales and guest requests.
- Support menu updates and maintenance of restaurant materials.
- Monitor and respond to Club 1902 chat inquiries or direct inquiries to the appropriate team member.
- Provide exceptional hospitality and customer service to guests and visitors.
Learning & Professional Development
- Gain exposure to event planning processes from inquiry through execution and follow-up.
- Learn industry best practices related to hospitality, catering sales, event logistics, and guest service.
- Participate in departmental meetings and training opportunities as available.

EDUCATION and/or EXPERIENCE REQUIREMENTS:
- Currently pursuing or recently completed a degree in Hospitality Management, Event Management, Business Administration, Marketing, Communications, or a related field preferred.
- Previous hospitality, customer service, restaurant, catering, or event experience preferred but not required.
- Experience working in a fast-paced environment is a plus.
- Flexible schedule availability, including evenings, weekends, and holidays.
PHYSICAL REQUIREMENTS:
- Ability to stand and walk for extended periods of time, often for the duration of a full shift.
- Capability to lift and/or carry service items weighing up to 40 pounds.
- Frequent bending, reaching, twisting, and kneeling.
- Manual dexterity to handle various service items with precision and care.
- Ability to work in a fast-paced environment while maintaining composure and attention to detail.
- Clear verbal communication skills to effectively interact with management, guests and team members.
- Capability to navigate crowded spaces safely and efficiently.
- Tolerance for varying temperatures, including warm dining rooms and proximity to kitchen areas.
- Position dictates working in a fast-paced environment and subject to irregular hours including late nights, early mornings, weekends, and holidays.
