NFPA is looking to add an Executive Assistant/Staff Director to the team!
This role supports NFPA’s mission, vision, and strategic priorities by providing high-level operational and strategic assistance to the President and Senior Team. The EA/Staff Director serves as a key partner in coordinating the President’s activities with internal and external stakeholders, executing delegated responsibilities, and ensuring the efficient management of competing priorities in a fast-paced environment. Success in this role requires exceptional professionalism, sound judgment, diplomacy, and the utmost discretion in handling confidential and sensitive matters.
Primary Duties/Responsibilities:
Executive Support
• Manage and optimize the CEO & Senior team’s complex calendar, including executive meetings, board engagements, travel, and strategic priorities.
• Coordinate domestic and international travel arrangements, itineraries, and expense reporting.
• Prepare executive correspondence, presentations, reports, and briefing materials.
• Serve as a gatekeeper by prioritizing requests, resolving scheduling conflicts, and ensuring effective time management.
• Maintain strict confidentiality regarding corporate, financial, personnel, and strategic matters.
Strategic Coordination
• Support execution and tracking of strategic initiatives and organizational priorities.
• Coordinate leadership meetings, executive off-sites, board meetings, and investor-related activities.
• Prepare agendas, meeting materials, minutes, and follow-up action items.
• Monitor deadlines, deliverables, and executive commitments across departments.
• Partner with senior executives to ensure alignment on priorities and communications.
Communication & Relationship Management
• Serve as a liaison between the President, executive leadership, board members, clients, and external stakeholders.
• Facilitate professional communication across all levels of the organization.
• Draft and edit high-level communications on behalf of the President.
• Build strong relationships with internal and external business partners.
Office & Operational Management
• Oversee administrative processes to improve executive office efficiency.
• Coordinate special projects and corporate events as assigned.
• Manage records, contracts, and confidential documentation.
• Support budget tracking, invoice approvals, and vendor coordination for the executive office
• Bachelor’s degree required, with a minimum of five years of experience providing executive-level support in a fast-paced environment.
• Advanced proficiency in Microsoft Office applications, including Word, Excel, PowerPoint, Outlook, and Teams.
• Demonstrated technical aptitude and the ability to navigate multiple systems in support of the President and Senior Team.
• Exceptional communication and interpersonal skills, supported by a high degree of emotional intelligence.
• Demonstrated initiative and the ability to work effectively both independently and collaboratively.
• Strong sense of urgency, exceptional attention to detail, and a commitment to achieving high-quality results.
• Proven ability to manage multiple priorities and exercise sound judgment in assessing risk, importance, urgency, and organizational impact.

Final compensation is determined by a combination of factors, including the specific skills, relevant experience, education, and training you bring to the role, as well as internal equity and business needs. For candidates whose qualifications align well with the role’s requirements and expectations, offers are often made toward the minimum of the posted range. Exceptional qualifications or unique circumstances may result in placement higher in the range.
