Description

Job Summary:

The Equipment Support Specialist provides administrative and operational support to the Equipment Management Department by maintaining accurate equipment and vehicle records, processing assignments and transfers, assisting with reporting, and supporting internal customers. This position plays a key role in ensuring the accuracy of equipment data, vehicle assignments, and departmental processes while delivering excellent customer service.


Responsibilities/Essential Functions:

  • Process all vehicle and equipment assignment and de-assignment forms accurately and in a timely manner.
  • Process vehicle transfers within the equipment management system to ensure accurate reporting, tracking, and asset assignment.
  • Maintain and update equipment and vehicle records as required.
  • Review weekly and monthly vehicle assignment reports to verify accuracy and coordinate necessary updates or corrections.
  • Distribute vehicle registration, license plate, and related documentation to assigned drivers.
  • Assist Equipment Specialists with vehicle procurement, vehicle call-offs, reporting, and other fleet-related activities.
  • Provide administrative support to the Equipment Coordinator teams.
  • Enter and maintain data within company equipment management systems and databases.
  • Assist with departmental reporting, audits, and recordkeeping activities.
  • Respond to inquiries from internal and external customers in a professional and timely manner.
  • Communicate information, requests, and messages to appropriate personnel to support efficient operations.
  • Support company initiatives related to asset management, fleet management, and equipment tracking.
  • Assist with special projects and other duties as assigned.
Requirements

Education & Experience Requirements:

  • HS diploma or GED equivalent required.
  • Past Equipment management experience.
  • Knowledge of Word, Excel, and Outlook.
  • Excellent organizational skills, communications skills, computer skills, the ability to multi-task, and most importantly, the ability to work well in a team.
  • Demonstrated openness to change, flexibility, and adaptability.
  • Self-starter with a drive for continuous improvement of the business operations.
  • Express willingness to step out of the box to assist other teams to meet and overcome challenges for the company.
  • Previous knowledge of Construction Field Service Tooling and Work Scope


Work Environment/Physical Requirements:

This position is primarily based in an office setting but may require on-site visits, often in remote or rural areas. Team members will be required to adhere to all safety requirements in all work environments. 

Specific requirements include:

  • Exposure to varying weather conditions, including extreme heat, cold, rain, and wind.
  • Ability to lift, carry, or move up to 50 pounds.
  • Prolonged periods of walking, standing, bending, crouching, and climbing during onsite inspections.
  • Ability to wear all required personal protective equipment
  • Ability to work extended hours, including evenings, weekends, and holidays, as required by business needs or project deadlines.
  • Travel up to 20%
