Events Coordinator
Description

Hyde Park Schools seeks to hire an Events Coordinator. The Coordinator will be responsible for helping plan, strategize, and implement school-wide events that foster community engagement and support the mission of the school. This role reports directly to the Executive Director of Advancement and will work closely with all members of the Advancement Office, Admissions Office, and Hyde Park community. 


Major Duties and Responsibilities

  • Plan and implement a wide range of special events throughout the school year.
  • Execute all components of school events from start to finish, working closely with school leadership, advancement, admissions, alumni, development, marketing, and PTF (Parent Teacher Fellowship) to ensure events align with school goals and expectations.
  • Coordinate event logistics on and off campus including venue preparation, vendor communication, volunteer management, registration, hospitality, and post-event follow-up.
  • Serve as the school representative in the planning of events, ensuring consistency of experience among divisions as well as alignment with school culture and values.
  • Collaborate with school departments to support community-building events and initiatives.
  • Maintain event timelines, budgets, and planning documents to ensure successful execution.
  • Perform other duties as assigned.
Requirements
  • At least one to three (1-3) years of experience in event planning, hospitality, project management, or related activities. 
  • Demonstrated ability to lead with imagination, initiative, vision, energy, and drive.
  • Exceptional communication skills, both oral and written, and an understanding of what should be communicated to different audiences.
  • Extreme discretion, attention to detail, and commitment to excellence.
  • Understanding of the school's founding vision and mission and the ability to positively engage internal and external constituents.
  • Availability to work some nights and weekends, as many events fall outside of school hours.
  • Ability to manage multiple large projects simultaneously, maintain strong attention to detail, and work exceptionally well under pressure.
