This position is primarily focused on facility projects and contractor coordination, not IT.


We're looking for someone who understands building systems, construction, maintenance, equipment installations, and facility improvements well enough to evaluate quotes, compare solutions, coordinate vendors, and ensure work is completed the correct way with the correct materials. The right candidate can ask informed questions, spot potential issues, and hold contractors accountable to project requirements, timelines, and quality standards.


The IT portion of the role is limited to coordinating with our outsourced IT provider, assisting employees with routine technology issues, and supporting basic PC, Microsoft 365, printer, and file-sharing needs. Advanced programming, network engineering, cybersecurity, or IT management experience is not required.

Starting Salary: $68,000 – $74,000 annually


JOB SUMMARY

The Facility Coordinator oversees the coordination of facility-related projects and services at Fee Brothers’ 30,000-square-foot facility, with primary responsibility for administering maintenance, repair, upgrade, and installation work through third-party contractors and vendors. This role manages projects end-to-end, including planning, scheduling, obtaining quotes, coordinating work, and following through to completion across multiple concurrent initiatives. The Facility Coordinator also serves as the primary point of contact for day-to-day IT needs, working closely with the Company’s external IT service provider to support employees, coordinate troubleshooting, and assist with technology projects. As needed, the role provides logistical coordination for company events by working with outside venues and catering vendors. Success in this position requires strong organizational, communication, and project coordination skills to effectively manage diverse service providers and operational needs across facilities, IT, and occasional events.

Requirements

ESSENTIAL FUNCTIONS

The Facility Coordinator is responsible for performing the following essential functions in alignment with Company standards, values, and goals:

Individual Contribution & Development

  • Perform assigned work accurately and efficiently while maintaining the knowledge, skills, and work habits needed to meet established procedures, priorities, and Company expectations.
  • Plan and coordinate all facility maintenance, repair, and construction projects from start to finish.
  • Obtain and compare quotes, track project progress and costs, and follow up with contractors on outstanding issues, deliverables, and cost-effective outcomes in coordination with management.
  • Monitor building systems, equipment, and services to ensure functionality, compliance, and preventative maintenance, and proactively identify and recommend maintenance, repair, or improvement needs based on observations and operational priorities.
  • Serve as the primary liaison with Fee Brothers’ external IT service provider for all technology support and project needs.

Group Contribution & Collaboration

  • Work collaboratively with team members, communicating work-related information clearly and promptly, to support safe, coordinated, and efficient operations.
  • Organize, communicate with, and manage multiple contractors and vendors concurrently to ensure timely and cost-effective completion of work.
  • Support employees with IT troubleshooting needs and coordinate issue resolution, system upgrades, and user support with the external IT service provider.
  • Assist in coordinating internal technology projects and initiatives, including company-wide rollout planning, scheduling, documentation, and employee communication or training support.
  • Provide support for company events and on-site meetings by coordinating with external venues and catering vendors on logistics, setup, and post-event breakdown.

Compliance & Quality

  • Follow Company policies and procedures in daily work while supporting regulatory compliance within the department to maintain audit, inspection, and review readiness and help achieve the highest possible ratings.
  • Coordinate facility services and projects to ensure compliance with requirements and standards related to fire code, first aid, safety, GMP, and SQF certification.
  • Maintain records of facility and IT projects, inspections, compliance checks, and vendor agreements.

In addition to the essential functions listed above, the Facility Coordinator may be asked to perform other duties as assigned. Fee Brothers’ team-oriented environment requires flexibility and adaptability to meet changing demands and expectations.


EDUCATION & EXPERIENCE

The ideal Facility Coordinator has the following qualifications:

  • Associate’s or Bachelor’s degree in facilities management, business administration, information technology, or a related field, or an equivalent combination of related work experience, training, and/or education sufficient to successfully perform the essential duties of the job.
  • Three to five years of experience coordinating facilities, maintenance, or construction projects, including direct work with multiple contractors and vendors.
  • Proven background in providing IT support and/or coordinating with IT service providers.
  • Demonstrated success in organizing, scheduling, and tracking multiple concurrent projects to completion.
  • Experience supporting compliance with OSHA regulations, fire code requirements, and workplace safety or first aid standards.
  • Experience supporting event coordination, including working with catering, venue, or other external service providers.
  • Prior experience in a manufacturing, warehouse, or production environment preferred.

  • Project Tracking & Administrative Coordination: Ability to maintain organized project documentation, monitor progress and costs, coordinate scheduling and follow-up activities, and ensure timely completion of operational projects and services.
  • Building Systems & Operational Awareness: Working knowledge of facility infrastructure, preventative maintenance principles, and operational support needs, with the ability to identify issues and recommend practical improvements.
  • IT Support & Service Coordination: Ability to coordinate technology support needs between employees and external service providers while supporting issue resolution, system rollouts, user communication, and continuity of operations.
  • Regulatory & Workplace Standards Coordination: Understanding of workplace safety, compliance, and facility-related operational standards, with the ability to support inspection readiness, documentation accuracy, and vendor adherence to Company requirements.
  • Planning, Organization & Problem-Solving: Ability to organize daily work, prioritize tasks, identify issues, and apply practical solutions that support safe, efficient, and consistent operations.
