We are seeking a highly organized, detail-oriented, and compassionate professional to join our team as a Surgery Scheduler. This position plays a critical role in coordinating surgical care while serving as a liaison between patients, providers, surgical facilities, and other involved parties.


Position Summary


The Surgery Scheduler is responsible for coordinating and scheduling surgical procedures while ensuring all required clinical, financial, and scheduling requirements are met. This individual will work closely with physicians, surgical facilities, patients, and external partners to facilitate a smooth and efficient scheduling process from consultation through surgery.

Duties and Responsibilities (Including but Not Limited To)

  • Coordinate and schedule surgical procedures for personal injury and/or insurance patients with physicians, surgical centers, and hospitals.
  • Serve as a primary point of contact for patients throughout the surgical scheduling process.
  • Communicate with patients, providers, case managers, and external partners to obtain required documentation and approvals.
  • Verify insurance coverage, Letters of Protection (LOPs), liens, and other financial authorizations to ensure scheduling readiness.
  • Maintain accurate and up-to-date patient records within electronic medical record (EMR) and scheduling systems.
  • Review surgical orders and documentation to ensure completeness and compliance with organizational requirements.
  • Coordinate pre-operative and post-operative appointments and provide patients with surgery preparation instructions.
  • Monitor surgical schedules and proactively address scheduling conflicts, cancellations, and urgent changes.
  • Collaborate with billing, case management, and other internal departments to ensure timely processing of required documentation.
  • Follow up with patients regarding scheduled procedures, appointment reminders, and post-surgical care coordination.
  • Maintain confidentiality and compliance with HIPAA and all applicable healthcare regulations.
  • Deliver exceptional customer service while supporting patients through the surgical scheduling process.

  • Strong organizational skills with the ability to manage multiple priorities simultaneously.
  • Excellent verbal, written, and interpersonal communication skills.
  • Ability to work effectively in a fast-paced, deadline-driven environment.
  • Strong attention to detail and commitment to accuracy.
  • Ability to professionally communicate with patients, physicians, healthcare staff, case managers, and external partners.
  • Proficiency in Microsoft Office Suite and electronic medical record (EMR) systems.
  • Knowledge of medical terminology, surgical procedures, and healthcare workflows.
  • Ability to maintain professionalism and confidentiality when handling sensitive information.
  • Strong problem-solving skills and the ability to adapt to changing priorities.

Qualifications

  • High School Diploma or equivalent required; Associate’s Degree or Bachelor’s Degree preferred.
  • Minimum of two (2) years of medical scheduling experience, preferably within a surgical, orthopedic, pain management, or specialty healthcare setting.
  • Experience working with Letters of Protection (LOPs), liens, insurance verification, and authorization processes preferred.
  • Knowledge of HIPAA regulations and patient confidentiality requirements.
  • Bilingual English/Spanish preferred but not required.
