Job Summary:

Provides front office support and excellent customer service to medical center patients.

Internal: The Medical Center Specialist’s role within the organization is to maintain department philosophy, goals and objectives, standards, policies, and procedures and interprets these to ensure high-quality care. All team members are expected to treat one another with mutual respect, professionalism, and accountability.

External: The Medical Center Specialist’s role within the community is to represent HSNT in providing outstanding customer service to patients, vendors, and guests while maintaining a focused continuum of care. Patient confidentiality, acceptance and respect for various ethnic and cultural backgrounds, and appropriate and effective communication skills are paramount concerns for this position.

Essential Duties/Responsibilities:

  • Provides a centralized intake and new patient ser-vice function to gather pertinent patient, clinical and financial information to optimize the patient’s quality of care.
  • Processes new patient registration information by performing various duties including insurance verifications of coverage for benefits and eligibility, determining the coordination of benefits, and working with various internal sources to understand HSNT’s financial assistance policies and effectively communicate it to patients.
  • Interacts with other HSNT staff to ensure all new patients advance through the registration process and are scheduled to be seen in a timely manner
  • Answers the telephone and either responds to inquiry or directs caller to appropriate personnel.
  • Accurately records caller messages and make calls as directed by the medical providers.
  • Analyzes patient information on schedules prior to scheduled medical visits.
  • Schedules appointments in the electronic medical records system according to established policies and procedures.
  • Greets and directs patients, guests, vendors, and visitors. Requests sign in as appropriate.
  • Provides information regarding medical center services and eligibility requirements for the Sliding Fee Scale.
  • Register patient according to medical center policies and procedures.
  • Collects payments and reconciles daily cash reports to complete deposits.
  • Maintains forms and office supplies for front office activities.
  • Practices OSHA Safety Standards and abides by CDC guidelines.
  • Maintains a clean and organized waiting room/reception area.
  • Complete reporting as assigned.
  • Participates in quality initiatives as needed.
  • May perform other duties as assigned by the Business Office Manager or Practice Administrator.
  • Regular in-person attendance is required as an essential function for this position.
  • Must have the ability to work efficiently under stressful conditions and or environment in a timely manner.


Requirements

Required Knowledge/Skills/Abilities:

  • Familiarity and comprehension of medical terminology.
  • Must have proven skills in working independently, self-motivated, goal oriented, strong initiative, and be a self-starter.
  • Ability to organize and prioritize.
  • Bilingual skills (Spanish/English) a plus.
  • Exceptional customer service skills
  • Strong computer skills (including familiarity with electronic health record systems)
  • Strongly developed attention to detail.
  • Ability to adapt easily to changing environments.
  • Ability to multi-task in a busy environment
  • Ability to communicate effectively with all levels of the organization.
  • Ability to work with people and work under pressure.
  • Ability to maintain confidentiality.
  • Must be willing to work at any HSNT location, other than assigned site and be agreeable to work weekends, as responsibilities may dictate.

Education and Experience:

  • High School graduate or equivalent.
  • Minimum 1-year previous full-time experience in medical setting with direct contact with medical records.

Work Environment:

  • The activity for this position requires the employee to work in-person onsite in a clinical setting.
  • May be required to work alternative schedules.
  • Must be able to move, transport, position, and lift up to 15 pounds as needed.
  • Must be able to remain in a stationary position such as standing or sitting for up to 8 hours per day.
  • Must be able to walk, move, and/or traverse as needed.
  • Must possess the ability to communicate, detect, converse with, discern, convey, express oneself, and exchange information fluently and frequently.
  • Must possess the ability to retain information.
  • Must be able to observe, assess, recognize, identify, determine, and perceive at all times.
  • Must be able to operate a computer and other office productivity machinery at any given time.
