Xtend and USA CUSO are seeking an Executive Administrative Assistant to provide high-level administrative support to executive leadership while helping coordinate board activities, company events, travel arrangements, and organizational communications. This role is ideal for a highly organized professional who thrives in a fast-paced environment, excels at managing multiple priorities, and enjoys supporting leadership teams through exceptional service and attention to detail.
This is a full-time, in-office position, 8:00am-5:00pm Monday thru Friday.
What You'll Do
- Provide executive-level administrative support to the Xtend and USA CUSO Leadership Teams
- Coordinate executive calendars, meetings, travel arrangements, and special projects
- Organize, document, and support Board of Directors meetings and related activities
- Coordinate Leadership Team meetings, events, and strategic planning sessions
- Manage and maintain Board websites and related documentation for Xtend and USA CUSO
- Coordinate logistics for internal events, client meetings, conferences, and special functions
- Arrange gifts, recognition items, event materials, and milestone celebrations
- Prepare professional correspondence, reports, presentations, and meeting materials
- Facilitate communication between executives, team members, clients, and external partners
- Maintain organized filing systems, records, and administrative documentation
- Support after-hours events and organizational functions as needed
- Perform additional duties and special projects in support of organizational goals
What You Bring
- High School Diploma/GED required
- Associate degree in a business-related field preferred
- 2–3 years of executive administrative support experience required
- Advanced proficiency with Microsoft Office (Outlook, Word, Excel, and PowerPoint)
- Exceptional organizational skills and ability to manage multiple priorities simultaneously
- Strong attention to detail and commitment to accuracy
- Excellent verbal and written communication skills
- Professional phone etiquette and customer service skills
- Ability to work independently and take initiative
- Experience handling confidential and sensitive information with discretion
- Ability to meet deadlines in a dynamic, fast-paced environment
- Willingness to work occasional evenings and support special events as needed
- Valid driver's license and ability to travel for meetings, conferences, and organizational events

WORK ENVIRONMENT & PHYSICAL ACTIVITIES
CU*Answers operates in a professional office building setting. Some job assignments at CU*Answers are primarily conducted within the office building(s) while others have moderate to extensive travel responsibilities as described in the Job Functions and/or Job Qualifications section(s) above. Travel: This position will require employee to travel in the Grand Rapids areas on a weekly basis to pick up food and supplies for catering events. The position requires mobiles to be on feet for extended periods of time, could be in excess of 3-4 hours.
