We are seeking a highly organized and detail-oriented Estimating Assistant to support our Estimating and Sales teams. Position Summary
The Estimating Assistant works closely with the Director of Estimating, Project Coordinators, and Sales Team members to support the proposal and order management process. This position is responsible for preparing proposals and change orders, entering sales orders, maintaining project documentation, and ensuring accurate recordkeeping throughout the sales process.
Key Responsibilities
- Review Requests for Quotation (RFQs) for accuracy and completeness.
- Prepare and format proposals, change orders, spreadsheets, and supporting documentation.
- Distribute proposals and supporting documents to Project Coordinators and Sales personnel.
- Maintain organized electronic and physical project records.
- Create sales orders, project files, and administrative documentation.
- Set up projects within McGee's order management software.
- Process sales order modifications and document all changes accurately.
- Submit sales order entries and revisions for weekly reporting.
- Follow established operational procedures and communicate any concerns, issues, or expedited requests to management.
- Provide administrative support to the Estimating and Sales departments as needed.

Qualifications
- Proficiency in Microsoft Office Suite, particularly Word and Excel.
- Strong attention to detail with a commitment to accuracy.
- Excellent verbal and written communication skills.
- Knowledge of general administrative procedures and business practices.
- Ability to effectively interact with employees at all levels of the organization.
- Strong organizational, time management, and multitasking skills.
- Ability to work independently while managing multiple priorities in a deadline-driven environment.
- Previous administrative, estimating support, project coordination, or sales support experience is preferred.
