Description


SUMMARY AND POSITION OVERVIEW

Responsible for the technology procurement activities of the company. Executes sourcing strategies, evaluates product and service offerings, recommends vendors, and negotiates contracts for technology purchases for INSP, LLC, Inspiration Ministries, and CrossRidge. Tracks and monitors Operational Expenses and Budget for Information Technology, including computer hardware, software, and SaaS products.



PRIMARY DUTIES AND RESPONSIBILITIES


Vendor Management & Procurement

· Serves as the primary point of contact for purchasing of hardware, software, vendor services, support contracts, parts, and repairs

· Maintains vendor contacts and relationships, including copier support and coordination

· Gathers business requirements and pre-qualifies potential vendors

· Handles tactical purchasing operations, including issuing POs and processing invoice payments

· Reviews and authorizes invoices and follows up with vendors to resolve discrepancies

· Negotiates vendor service agreements

· Handles the full-cycle RMA (Return Merchandise Authorization) process from initiation to resolution


Compliance & Operations

· Ensures procurement activities comply with internal policies and external regulations

· Processes monthly corporate credit card reconciliation

· Performs phone reconciliation and maintains related records

· Updates and maintains purchase tickets and requests

· Receives and acknowledges all incoming shipments

· Tracks recurring contracts and software maintenance and subscriptions

· Initiates the IT inventory lifecycle process


Budget & Reporting

· Tracks IT monthly and annual budget activity and assists with reporting

· Conducts research and documentation in support of annual budget preparation

· Assists with the creation of operational and capital budget documentation

· Audits software license usage to identify cost reduction opportunities


General

· Assists with departmental correspondence as needed

· Other duties as assigned




Requirements


JOB REQUIREMENTS AND QUALIFICATIONS  

· At least three years of professional experience in a procurement or administrative role

· Basic knowledge and experience with accounting functions and procedures

· Proficiency with standard business computer applications

· Strong attention to detail with good follow-through skills

· Ability to work independently with minimal supervision

· Creative and solutions-oriented approach to problem solving

· Self-motivated and proactive

· Solid understanding of IT hardware, software, and vendor ecosystems
