Circuit of The Americas is a 365-entertainment destination for world-class events located in Austin, TX. The sports and entertainment portfolio at COTA is unmatched in the country, with Formula 1 United States Grand Prix, NASCAR, and MotoGP attracting global fans during championship races on the famed Circuit, while Live Nation produces more than 30 headline concerts annually at the Germania Insurance Amphitheater. COTALAND is an amusement park featuring more than 30 attractions and experiences, including first-of-their-kind roller coasters.  


Responsibilities & Duties:  

  • Assist VP of Events + Hospitality and Sr. Manager, Guest Experience with the planning and  execution of Premium Hospitality logistics + services  
  • Private Hospitality : organize experiences, events and services for private hospitality  spaces; including client outreach and upgrade tracking, pre-event communications,  operational planning, ticket fulfillment, F&B services and event day management  
  • Shared Hospitality : Assist with preplanning of hospitality contractors, project timelines  and overall execution of premium hospitality operations  
  • Assist with contract and fulfillment of asset needs, rental orders and floral arrangements in  hospitality spaces for COTA events and major races  
  • Assists with overall operations of Event Design Execution for major races  
  • Collect layouts and design plans, contract and secure rental orders, assist with setup and  strike  
  • Oversee budget tracking of all operational expenses pertaining to major race hospitality  
  • Coordinate and further develop Client Relations Initiatives :  
  • Oversee daily operations of Trackside Sweets programing; coordinating with event  managers and F&B to plan and fulfill Trackside Sweets   
  • Manage premium gifting program, including sourcing, inventory management,  fulfillment and distribution of year-round and major race gifting   
  • Elevate guest experiences with thank you cards, amenities and special touches  
  • Assist Manger, Guest Experience with E+H intern program, coordinating daily schedules and  projects  
  • Ensure COTA hospitality spaces and service standards meet and exceed client expectations to  maintain high customer satisfaction levels property-wide   
  • Additional responsibilities as assigned  


Knowledge, Skills, & Abilities:

  • Excellent interpersonal, verbal and written communication skills; ability to communicate effectively at all levels both internally and externally
  • Proficient with Excel, Outlook, and Word
  • Able to simultaneously manage a high level of detail across multiple projects
  • Able to work independently and manage time effectively
  • Able to work well within a team environment
  • Able to maintain a flexible work schedule in order to deal effectively with special event responsibilities


Requirements:

  • 1-2 years’ service experience (event/entertainment industry preferred)
  • Must be open to working nights and weekends, as needed
  • Ability to work in fast-paced environment and remain focused
  • Ability to take direction and follow through on requests


Physical Demands:

  • Ability to stand, sit, use of hands to handle, or feel, reach with hands and arms
  • Ability to lift and/ or move up to 15 pounds
  • Specific vision abilities required by this job include close vision and distance vision
  • Must be able to endure seasonal temperatures as working conditions require some outdoor work


Work Environment:

  • The noise level in the work environment is usually moderate but can be loud during events
