TITLE: Clinical Manager

LOCATION: Rancho Cucamonga

REPORTS TO: Chief Operations Officer

To ensure that we hire and retain the quality of staff needed for implementing our philosophy of service, we have adopted the following job description for this position.

The position is an exempt position. Workdays are typically scheduled withing a five-day workweek. Hours and days may vary based on operational needs. All scheduling complies with applicable California wage-and-hour-laws. 

Many of the responsibilities require that you have a working knowledge of computers and the ability to make proper use of the programs utilized in this office, or those that may be necessary to meet the needs of the practice.

BASIC FUNCTION: 

Under the supervision of the COO, the Clinical Manager shall provide all responsibilities necessary for the successful operation of the Arrowhead Orthopaedics offices. 

JOB SUMMARY:

The Clinical Manager is responsible for overseeing daily operations, managing clinical and support staff, managing departmental budgets, ensuring regulatory compliance, and collaborating with physicians to deliver efficient, high quality patient care. 

Duties and Responsibilities:

· Oversee daily clinical operations.

· Oversee patients flow from check-in to check-out, minimizing wait times. 

· Act as a liaison between physicians, clinical staff, and administrative team. 

· Manage specialized Orthopaedic inventory.

· Coordinate coverage when required by accommodating clinic schedule changes, make sure all patients are notified & satisfied with changes. 

· Implement additional policies as necessary to improve daily efficiency.

· Assist patients with questions, concerns/issues. 

· Discuss new policies for employees and providers. 

· Cover absent employees from all departments. 

· Monitor employee time punches via Paylocity, overtime & time off. 

· Confirm clinic is operating efficiently starting at the front desk. 

· Confirm co-pays and patient balances, as well as other daily functions, are completed promptly. 

· Confirm all patient messages are returned throughout the day, and no later than the end of the day. 

· Schedule regular meetings with staff to discuss current and updated policies and promote open communication within the team.

· Solve any problems presented at the fronts desk regarding referrals, change of insurance, missing x-rays, and upset patients. 

· Directing patients to the proper avenues and discussing their options and accommodating them as best as possible. 

· Interact with other medical offices, clinical staff, patients, medical groups, adjustors, nurse case managers, hospitals, primary care Physicians and their offices. 

· Perform special projects and other responsibilities, tasks, or duties as requested. 

Supervisory Responsibilities:

· Hire, train, coach and supervise all clinical employees. 

· Monitor and develop employee’s performance to include, but not limited to, providing supervision, scheduling, conducting counseling and performance evaluations and delivering recognition and reward. 

· Monitoring and assessing service and satisfaction trends, evaluating and addressing issues, making improvements accordingly.

· Ensuring a high standard of appearance, patient experience, and service in employees.

· Serve as an employee for Arrowhead Orthaepedics, following the code of conduct, displaying the highest level of ethics and integrity in action, thoughts and conduct.

Skills and Education Requirements:

  • Education: High school diploma or equivalence.
  • Bachelor’s degree in healthcare administration preferred. 
  • 2-5 years of clinical, nursing, or orthopaedics, clinical experience required. Or 
  • 2-5 years of in a lead or leadership role in an orthopaedics or surgical setting required. 
  • Proficient in administrative tasks, such as updating patient records and or creating an      efficient schedule.
  • Excellent written and verbal communication skills.
  • Ability to multi-task and manage time well, while working in a fast-paced work environment. 
  • Proficient in all Microsoft 

Certificates, pre-employment requirements:

  • Certified Orthopaedic Nurse (ONC), certifications a plus. 
  • Required to submit and obtain a negative result in the pre-employment drug screening. 
  • Ability to pass a background check.
