Position Summary:
The Contract Administration Specialist will serve as a key member of Sabin’s Grants & Contracts Management (GCM) team, supporting the Research & Development (R&D) program with a particular focus on administering United States Government (USG) prime contracts. This role will work closely with the Director, Grants & Contracts to ensure compliance with funder requirements and contribute to the preparation of contract-related documentation including, but not limited to, requests for approvals, modifications, and subcontract documentation. This position offers the opportunity to build expertise in USG contract administration within a collaborative, mission-driven environment.
Key Responsibilities:
- Support the drafting, review, and editing of contract-related documentation for U.S. Government (USG) prime contracts, including requests for subcontracting approvals and modifications to prime awards
- Coordinate with Program Management, Subject Matter Experts, and Finance teams to gather required details and documentation to support timely submission of requests to funding agencies
- Assist with ensuring compliance with applicable regulations and prime contract terms and conditions
- Contribute to the preparation and negotiation of subawards, subcontracts, and consultant agreements, ensuring alignment with prime award requirements
- Track and monitor the status of contract actions, including approvals and modifications, helping to ensure deadlines are met
- Maintain organized contract files and documentation to ensure audit readiness and internal tracking
- Provide general administrative and operational support to the GCM team as assigned
- Minimum of 4 years of relevant experience required. Experience supporting contract management in a biomedical research and development environment strongly preferred.
- Working knowledge of or experience with Federal Acquisition Regulation (FAR), agency supplements, and/or 2 CFR 200 Uniform Guidance preferred
- Demonstrated computer proficiency, including Microsoft applications (Excel, Outlook, PowerPoint, Teams, Word, SharePoint), Adobe Acrobat, Zoom video conferencing, and conducting internet searches
- Salesforce experience or similar software preferred
- Smartsheet experience or similar software preferred
- Excellent communication and diplomacy skills (active listening, writing, speaking)
- Strong attention to detail, ability to manage complex tasks, process information quickly, analyze, and solve problems; and ability to work independently
- Highly organized, flexible, dependable and able to prioritize competing demands to meet deadlines in a fast-paced environment
- Strong interpersonal skills; ability to work across the organization, building strong relationships with colleagues over geographical distance
- Listens carefully to feedback and comments and adapts plans and actions accordingly

Sabin’s philosophy is to ensure fair, unbiased, equitable, competitive compensation and benefits. Using benchmarking and salary survey data, the annual salary for this position ranges from $70,000 - $85,000. The exact compensation may vary based on skills, experience, training, and certifications/degree. As a grant-funded organization, Sabin actively seeks funding for existing and new programs.
