POSITION OVERVIEW

The Operations Support Specialist acts as a behind-the-scenes operator responsible for turning detailed customer and sales information into clear, executable orders across the business.


This role sits at the center of order flow, owning order entry, coordination, and communication to ensure nothing slips through the cracks. You will take incoming requests from customers and sales and drive them from intake through fulfillment with accuracy, urgency, and accountability.


This is not a sales-first role. It is an execution role. Success comes from owning the details, solving problems early, and keeping work moving.


Location: This role is an in-office position, and operates out of our headquarters in Brookings, SD


Order Management & Execution

  • Take complex, detailed information from emails, quotes, calls, and team requests and convert it into clean, executable system orders
  • Translate quotes, emails, and verbal requests into complete, actionable orders 
  • Support the fulfillment of e-commerce orders
  • Be front-line support to the internal orders inbox
  • Confirm product availability, pricing, quantities, freight, and timelines before finalizing orders 
  • Drive orders from intake through fulfillment by coordinating across internal teams
  • Provide clear, timely updates to customers and team members on delays, changes, or shipment timelines

Workflow & Team Support

  • Support the broader Customer Service team by helping manage workload and keep orders moving
  • Step in where needed to reduce bottlenecks and support team execution
  • Act as a reliable internal resource for order status, troubleshooting, and follow-up
  • Support the entire Millborn team and its customers by answering, screen, and forward incoming calls as needed

System Ownership

  • Become highly proficient in Millborn’s order management system
  • Serve as a go-to resource for best practices, accuracy, and efficiency within the system
  • Identify gaps or inefficiencies in how orders are processed and suggest improvements

Communication & Coordination

  • Work across sales, operations, logistics, and fulfillment teams to ensure alignment on orders
  • Communicate proactively when issues, delays, or discrepancies arise
  • Ensure all teammates have clear, accurate information to execute their part of the process
Requirements
  • Strong attention to detail with a strong sense of ownership over work 
  • Ability to work quickly and accurately in a fast-paced, high-volume environment 
  • Strong organizational skills with the ability to manage multiple priorities simultaneously 
  • Clear, direct communicator who can work across teams effectively 
  • Comfortable learning systems and becoming a power user 
  • Willingness to work extended hours during peak seasonal periods as needed
