Description

Position Title: Client Services Assistant

Classification: Non-Exempt, Full-Time
Reports To: Vice President of Compliance and Client Services


Position Overview

The Client Services Assistant supports the Client Services Strategist in developing, implementing, and maintaining agency service platforms and products. This role also ensures accurate tracking of service activities within the department’s project management system while upholding the agency’s quality and service standards.


Key Responsibilities

  • Prepare and distribute open enrollment materials (e.g., benefit booklets, selection forms, rate grids) using information provided by the benefits team
  • Train internal staff on open enrollment materials and assigned service platforms
  • Support client-facing platforms, including: 
    • Risk Management Center
    • Human Resource Information System (HRIS)
    • Client Access (CSR24)
  • Assist with compliance and service deliverables such as ERISA Wrap Documents, Form 5500 filings, Experience Mod Analysis, flipbooks, and MLR rebate calculations
  • Maintain accurate and up-to-date documentation of client and team interactions in the project system
  • Help develop proposal materials, service timelines, and client presentations
  • Create and maintain training resources, intranet content, and client service materials
  • Track usage and adoption of agency service platforms
  • Format images and materials for professional use
  • Support newsletters, forms, playbooks, and departmental documents
  • Participate in internal and client meetings, providing support as needed
  • Manage department supplies to ensure timely service delivery


Requirements

 Skills & Qualifications

  • Strong written and verbal communication skills; ability to explain processes clearly
  • Excellent customer service and interpersonal skills
  • Highly organized with strong attention to detail and time management
  • Self-motivated and able to work independently
  • Proficient in Microsoft Office (including Publisher or similar tools)
  • Ability to manage multiple priorities and meet deadlines
  • Willingness to travel occasionally for client support and training
  • Bilingual skills are a plus

Education & Experience

  • High school diploma or equivalent required
  • Insurance industry experience (Property & Casualty or Life & Health) preferred
  • Willingness to pursue relevant insurance licensing encouraged

Work Environment & Physical Requirements

  • Office-based role requiring extended periods of sitting or standing
  • Frequent computer use and communication via phone and email
  • Must be able to exchange accurate information with clients and team members
  • Occasional light lifting (up to 15 lbs) and movement within office spaces
  • Fast-paced environment with high daily workload expectations
