Human Resources Administrative Support
Major Duties and Responsibilities:
Human Resources, Administrative and Clerical Support
- Provide direct administrative support to the Director of Human Resources.
- Assist in the preparation of reports, presentations, spreadsheets, correspondence, and other HR-related documents.
- Coordinate meetings, interviews, training sessions, department events, and schedules.
- Maintain department calendars and assist with special projects, departmental initiatives, and compliance-related activities.
- Maintain employee personnel files and HR records in accordance with company policies, legal requirements, and record retention guidelines.
- Process, audit, and maintain employee documentation, including new hire, transfer, promotion, compensation change, leave of absence, and separation paperwork.
- Assist with data entry, record maintenance, reporting, and audits within the Human Resources Information System (HRIS).
- Prepare employment verification letters, personnel correspondence, and other routine HR documents.
- Ensure employee files and HR records are complete, accurate, organized, and compliant with company policies and applicable laws.
- Support HR audits, record reviews, compliance initiatives, documentation requests, and regulatory reporting requirements as directed.
- Coordinate the ordering, inventory management, and distribution of office supplies, business cards, and other departmental materials.
- Maintain strict confidentiality of employee, applicant, and company information.
- Provide administrative support for HR programs, projects, and initiatives.
- May perform mail runs and distribute incoming and outgoing correspondence, packages, and deliveries.
- Perform general administrative duties and other assignments as requested.
Recruitment and Onboarding
- Assist with job postings, applicant tracking, and recruiting activities.
- Assist with scheduling interviews and coordinate candidate communications.
- Support job fairs and recruiting events as assigned.
- Provide support in coordinating pre-employment screenings, background checks, and onboarding requirements.
- Assist in preparing new hire paperwork and onboarding materials.
- Assist with new hire orientation scheduling and onboarding processes.
Benefits and Leave Administration
- Assist employees with benefit enrollment forms and related documentation.
- Support annual open enrollment activities and employee benefit communications.
- Distribute benefit materials.
- Assist with employee benefits-related questions.
- Assist in processing benefit-related paperwork and maintain benefit records.
- Assist with leave of absence documentation and tracking.
Training and Compliance
- Assist in tracking employee training assignments and completion status.
- Provide support in maintaining training records and compliance documentation.
- Assist with workplace compliance programs, including harassment prevention, workplace
- Violence prevention, safety training, and other required trainings.
- Provide support in conducting periodic audits of training records and personnel files to ensure compliance.
Employee Support
- Respond to routine employee questions regarding HR policies, procedures, and programs.
- Provide administrative support for employee relations activities and investigations.
- Assist with employee engagement, recognition, and wellness initiatives.
Qualifications and Requirements:
Education and Experience
- High school diploma or equivalent required.
- Associate's degree in Human Resources, Business Administration, or a related field preferred.
- Bachelor's degree in Human Resources, Business Administration, or a related field is a plus.
- Minimum one (1) year of administrative support experience required.
- Prior Human Resources administrative experience preferred.
- Experience working with HRIS systems preferred.
- HR certification (aPHR, PHR, SHRM-CP, or equivalent) is a plus.
Physical Requirements:
- Ability to sit, stand, walk, and use a computer for extended periods.
- Frequently required to use hands and fingers to operate a computer keyboard, mouse, and telephone keyboard, and talk or hear.
- Ability to occasionally lift and carry up to 25 pounds.
Work Environment:
This position is primarily administrative and clerical in nature and is performed in an office environment. The role requires extensive data entry, document management, filing, scheduling, record maintenance, and support of daily Human Resources operations. This is an in-person role, will work in close proximity to other coworkers in an open office environment; this is an employee-facing role with frequent interaction with staff, applicants, and visitors.
Salary Range: $30.00 to $35.00 per hour DOE
Schedule: Monday to Friday - 8:00am to 5:00 pm
In-person, must report to the office
