Job Summary
The Accounts Payable Position plays a critical role in the daily operations of Universal Community Health Center (UCHC), reports directly to the Accounting Supervisor and is responsible for the day-to-day hands-on accounting functions for the organization. The Accounts Payable Position entails a great deal of variety and requires the ability to stay organized and manage multiple tasks while keeping track of details. This is a full-time, 40-hour position that is situated at our Beverly office near Montebello & Monterey Park, CA.
General Accountabilities
- Process Full-cycle Accounts Payable including verifying, classifying, recording, and paying bills for our 5 clinics and 3 Admin offices, and continue to grow with the organization
- Set up new vendors in the accounting software system, maintain W-9 forms and keep track of vendor contracts to help with payment reconciliation
- Process payables in our procurement software Microix prior to payment in MIP Abila
- Handle Expense Reports using accounting software and payroll software
- Process payments via checks, ACH, or wire transfers through online banking, and manage disbursement schedules to avoid late fees
- Process monthly rent payments while keeping track of rent increases and CaM adjustments
- Reconcile monthly vendor statements and field correspondence to resolve payment discrepancies or disputes, as well as cost-saving opportunities
- Scan documents to our Google drive and file all documents
- Assist with month-end closing activities, monitor aging reports, and make adjustments as necessary
- Assist Accounting in providing responses to external auditors to ensure successful audit results
- Help prepare annual tax filings (1099s, Forms 571L, Statement of Information, etc.)
- Make runs to the bank for cash and check deposits once a week using the company vehicle
- Make runs to the clinics and admin offices to pick up cash and mail once a week using the company vehicle
- Perform special projects or other duties as assigned
- In conjunction with the CFO and Director of Accounting, assist with implementing and maintaining internal financial controls
Job Qualifications
- College graduate with an emphasis in Accounting, and/or Finance
- Knowledge in processing full cycle accounting and the monthly and annual close process
- High level skills with the MS Office suite and Google docs
- Ability to track detail and follow up to complete projects and transactions
- Able to multi-task in a dynamic fast-paced environment with minimal supervision
- Excellent verbal and written communication skills
- Excellent organization and time management skills
- High degree of accuracy and attention to detail
Skills
- Automobile and Valid California driver’s license is required due to necessary work-related travel (i.e. banking).
- Occasional travel to meetings, trainings & conferences.
Skills: Language
- Bilingual-English/Spanish is preferred.
Physical Requirement
- Physical effort which may include occasional light lifting to a 25 pound limit, and some bending, stooping or squatting. Considerable walking may be involved. The ability to sit or stand for extended periods of time is required.
- Flexibility to work in multiple locations throughout the week.
- Vision and hearing required to use computer and to attend teleconferences and communicate with employees and vendors.
