Job Summary:
This position is the Face of the Church office. The receptionist is responsible for attending to visitors and dealing with inquiries on the phone and face to face from the public. In addition, provide information to the general public. Attends to sacramental inquiries and special Mass celebrations.
Must be able to work in a fast paced environment while consistently maintaining a cheerful, positive, professional attitude on the phone and in person. Must be a quick learner that is able to follow directions accurately while multitasking and still be able to produce an excellent work product with a smile. Must be a self-starter who is organized and detailed oriented. Must be a team player with a ‘can do” attitude.
Ministerial Character
The Pastor is the visible principle and foundation of unity in the parish of St. Joseph Catholic Church (SJCC) which the Bishop has entrusted to him. He makes Christ’s mission present and enduring in the parish. In order to fulfill his mission, the Pastor employs suitable, chosen collaborators (clerics, religious, or lay people). He shares with them his mission and entrusts various responsibilities to them.
Positions employed at St. Joseph helps to extend the ministry of the Pastor in particular ways as outlined in the job description. Therefore, the employee in this position is closely connected to and assists the pastor in the performance of his ministry and thereby engages in ministry for the Church.
Essential Job Duties:
- Answer phone, take messages, check voice mails, change outgoing message as needed.
- Greet and assist parishioners with their questions and needs
- Create a spreadsheet for all money collected throughout the day and enter all donations in Ministry Pro Platform and turn in to Bookkeeper, Vickie Contreras
- Receive mail and take out checks (church donations) and distribute the rest to appropriate departments. All mail should be stamped with the date received
- Schedule all Mass Intentions, flowers, and sanctuary lights
- Send Communication Coordinator, Barbara Aubuchon Mass Intentions for bulletin weekly
- Maintain log for PAC/Annex keys when they are checked out and returned. Follow up with anyone who has not returned keys
- Mail out weekly bulletin to all homebound parishioners
- Contact Don Pesek (Homebound Eucharistic Ministry) for any parishioners needing the Eucharist at home or in a Nursing Facility
- Update parishioner information when it has changed in Ministry Pro
- Set up Anointing of the Sick, Last Rites, House Blessings, Confessions in Ministry Platform and then contact one of our Priest to schedule
- Set up Clerical Endowment Fund (CEF) masses and keep record of money to give to Molly Herbst
- Assist with Baptism Paperwork and call families the week of baptism for confirmation of times and communicate with Deacon Keith
- Assist with making Baptism, Confirmation, First Communion and Matrimony Certificates
- Send all messages to Dorcus Hohertz for any calls that come in for an appointment with Fr. Brian
- Assist with completion of Witness Affidavits and Parish Affiliation Forms for School & Cemetery
- Assist with Online Giving & V2 donations/Data Entry in Ministry Pro
Knowledge, Skills, and Abilities:
- Knowledge of Roman catholic teachings, parish and diocesan structure
- Ability to provide excellent customer service and work effectively with staff, clergy, and laity
- Good communicator, verbal and written
- Ability to operate various word-processing software, spreadsheets, and database programs

Working Conditions:
- All employees of the Parish are engaged in ministry and closely tied to the Pastor in the exercise of his ministry and obligations to the church.
- The Parish is an at-will employer.

- Working in a fast-paced environment with priorities and plans that may change rapidly.
- Will be exposed to religious ceremonies, conduct, and speech, including Roman Catholic Christian prayer and liturgical celebrations.
