POSITION DESCRIPTION
A & M is seeking a Proposal Coordinator to join our team and be responsible for managing and coordinating the preparation, production, and submission of proposals, qualifications packages, presentations, and other marketing materials in support of business development efforts. This position works closely with technical staff, project managers, executives, and teaming partners to ensure all proposal submissions are accurate, compliant, compelling, and submitted on time.
The Proposal Coordinator plays a critical role in supporting company growth by maintaining proposal resources, coordinating schedules, and ensuring consistency in branding, messaging, and quality across all proposal deliverables.
WHAT YOU'LL BE DOING
The successful candidate will be responsible for:
- Coordinate all phases of proposal development from receipt of solicitation through final submission. - Review Requests for Proposals (RFPs), Requests for Qualifications (RFQs), Invitations for Bid (IFBs), and Sources Sought notices to identify requirements, deadlines, and submission instructions. - Develop proposal schedules, compliance matrices, outlines, and assignment trackers. - Coordinate with technical staff, project managers, executives, subcontractors, and teaming partners to gather required information. - Compile, edit, format, and produce proposal documents for submission. - Ensure proposal packages are complete, compliant, and submitted by established deadlines. - Manage electronic proposal submissions through government and commercial procurement portals.
- Maintain proposal content libraries, resumes, project descriptions, past performance information, and corporate qualifications. - Update and manage marketing collateral, capability statements, and company profiles. - Assist in developing and maintaining standard proposal templates and branding guidelines. - Coordinate updates to staff resumes and project experience databases.
- Review proposal documents for accuracy, completeness, grammar, formatting, and compliance with solicitation requirements. - Ensure consistency in messaging, branding, and document presentation. - Conduct final quality assurance reviews prior to submission. - Maintain proposal files and records in accordance with company procedures.
- Monitor procurement websites and identify potential opportunities. - Assist with bid/no-bid tracking and opportunity management. - Support preparation of presentations, interview materials, and marketing events. - Coordinate teaming agreements, subcontractor information, and required certifications for proposal submissions. - Participate in proposal debriefs and lessons learned meetings.
- Maintain proposal calendars and submission schedules. - Organize electronic filing systems for proposals and marketing materials. - Generate reports regarding proposal activity, win rates, and pipeline support metrics. - Support special projects as assigned.

Required Skills
- Associate's or Bachelor's degree in Business, Marketing, Communications, English, Public Administration, or a related field preferred. - Equivalent combination of education and experience may be considered.
- Minimum of 2 years of proposal coordination, marketing, business development, or related experience preferred. - Experience supporting engineering, environmental, construction, government contracting, or professional services firms preferred. - Experience with federal, state, and local government procurement processes is highly desirable.
- Ability to work extended hours when necessary to meet proposal deadlines.
- Strong organizational and project management skills.
- Excellent written, editing, proofreading, and verbal communication skills.
- Ability to manage multiple deadlines and priorities simultaneously.
- Strong attention to detail and commitment to quality.
- Proficiency with Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
- Experience with SharePoint, CRM systems, proposal management software, or graphic design tools is a plus.
- Ability to work independently and collaboratively in a team environment.
- Knowledge of government contracting terminology and proposal processes preferred.
