Reports To: Director of Patient Access

Status: 80 hours per two week pay period

Shift: 8 hours between 7:30 am - 5:00 pm
Job Schedule: Full time
Weekly Hours: 40 hours

Position Purpose:

Responsible for coordinating and scheduling patient appointments, procedures, and diagnostic services across multiple departments or locations. Responsible to complete pre-registration and pre-authorization of medical care along with communicating benefit information to patients

Essential Job Functions:

  • Schedule patient appointments, procedures, and ancillary services in accordance with provider availability and organizational guidelines.
  • Collect and verify patient demographic, insurance, and referral information at the time of scheduling.
  • Coordinate scheduling across multiple departments, providers, and service lines to ensure timely access to care.
  • Ensure appropriate authorizations, referrals, and pre-certifications are obtained prior to scheduled services.
  • Provide patients with clear instructions regarding appointment details, preparation requirements, and arrival times.
  • Maintain accurate and up-to-date information within scheduling and electronic health record (EHR) systems.
  • Monitor and manage provider schedules, including cancellations, rescheduling, and waitlists.
  • Answer high volumes of inbound and outbound calls in a professional and efficient manner.
  • Resolve scheduling conflicts and address patient or provider concerns promptly.
  • Collaborate with clinical staff, registration, and revenue cycle teams to ensure continuity of care and accurate billing.
  • Maintain confidentiality of patient information in compliance with HIPAA regulations.
  • Meet productivity, quality, and customer service standards.

Other Job Duties:

  • Effectively communicates with supervisor in areas of opportunity that will improve hospital performance results, increase productivity, and reduce obstacles.
  • Provide patient with cost estimates when needed and request upfront payment according to HRMC policy.
Requirements

Qualifications: (Minimum Education and Experience)

  • High school diploma or equivalent required.
  • Previous experience in healthcare scheduling, registration, call center, or customer service preferred.
  • Knowledge of medical terminology, insurance requirements, and referral/authorization processes preferred.
  • Strong computer proficiency, including scheduling systems and EHR platforms.
  • Excellent organizational, time management, and multitasking skills.
  • Strong interpersonal and communication skills
