Description

The Scheduling Manager is responsible for managing and overseeing the scheduling of all team members to ensure optimal staffing levels that support daily operations and patient care. This role handles call-outs and reassigns staff as needed to maintain seamless coverage across locations. The Scheduling Manager works closely with the operations team to identify and communicate staffing needs, particularly during peak seasons. In addition, this role supervises team members who assist with doctor scheduling and may be required to provide support at the front desk during high-volume periods.


Essential Responsibilities:

  • Develop, implement, and oversee team member schedules to ensure adequate coverage for all shifts and locations.
  • Manage call-outs and reassign staff to maintain seamless coverage.
  • Supervise and provide direction to scheduling team members, including those managing doctor schedules.
  • Collaborate with the operations team to monitor staffing levels and anticipate staffing needs, particularly during peak seasons.
  • Ensure scheduling practices comply with company policies and applicable labor laws.
  • Maintain accurate and up-to-date scheduling records and documentation.
  • Communicate effectively with team members and the operations team regarding schedule changes, shortages, and staffing updates
  • Develop and coach direct reports to ensure there are streamlined process for scheduling 
  • Work with other departments or company leadership to problem solve and develop streamlined processes. 
  • Provide excellent customer service by supporting the front desk team during peak hours as needed. 
  • Identify and recommend opportunities to improve scheduling processes and enhance operational efficiency. 
  • Perform other duties as assigned to support the operational needs of the organization.

Requirements

Qualifications & Experience:

  • Working knowledge of dental terminology and practices. 
  • Previous experience in scheduling, workforce management, or a similar role. 
  • Strong leadership and communication skills. 
  • Excellent organizational skills and attention to detail. 
  • Ability to adapt to changing priorities and handle high-pressure situations effectively. 
  • Proficient with scheduling software and related technology. 
  • Ability to work independently and collaboratively as part of a team.
