Position Summary
Under the supervision of the Events Supervisor, the Events Technician assists with the implementation of the Library’s system-wide events efforts. The Technician will write and proofread written and online event information, assist AADL staff throughout the system with event details, work with outside organizations and speakers to successfully produce AADL events and exhibits, handle room rentals and reservations from outside organizations and the corresponding customer service, and develop and host events that support the Library’s programming goals.
Essential Duties and Responsibilities include the following; other duties as assigned:
- Corresponds with patrons, presenters, and outside organizations in a prompt and professional manner.
- Assists with the logistics, organization, and scheduling of public events for AADL staff and external presenters, including: writing and proofreading event information, presenter payments, ordering supplies, room set-up information, hotel and travel arrangements, scheduling local booksellers, and arranging catering, with strong attention to detail.
- Handles the room rentals and reservations process, including assessing request forms, scheduling within the system calendar, and all correspondence associated with the bookings.
- Serves as a member of the Exhibits team and handles the exhibit application process, including responding to applicants and coordinating exhibit installation and deinstallation.
- Develops and hosts events that support the Library's programming goals.
- Serves on departmental and system-wide teams and delivers related action items on schedule.
- Works collaboratively as a member of the Events team and communicates task progress and deadlines effectively with teammates and supervisor.
- Attends regular Events team and system-wide team meetings.
- Works within the events database to maintain accurate and detailed records.
- Maintains a prompt and reliable attendance record.
Minimum Qualifications include:
- Bachelor’s degree from a four-year college or university; or one to two year’s related experience and/or training; or equivalent combination of education and experience.
- Excellent written and verbal communication skills, including strong editing, grammar, and proofreading skills.
- Strong organizational skills and ability to set priorities and handle multiple tasks while maintaining strong attention to detail. Must be flexible and willing to work in situations with multiple deadlines.
- Skilled in utilizing a variety of office software applications (including database management and Google Workspace applications).
- One to two years’ experience providing direct customer service.
- Positive attitude and strong public service commitment.
- Strong interpersonal and team player skills.
Preferred Qualifications include:
- Successful experience providing direct customer service in a public library setting.
- Proven experience producing events for all ages.
- Experience with visual art or exhibit installation and logistics.
- Experience using Airtable.
- Fluency in one or more non-English languages.
