GENERAL SUMMARY:

Supports the Director of Sales & Marketing and Sales Team by providing administrative, marketing, and operational assistance that contributes to achieving occupancy goals. Assists with prospect management, lead generation, community events, marketing materials, move-in coordination, and maintain presentation standards throughout the community. Ensures a positive experience for prospects, residents, families, and referral partners while supporting the overall success of the sales department.


PRINCIPAL DUTIES:

Essential Job Duties:

(Other duties may be assigned as needed.) Must be willing and able to perform the following:

· Provide administrative support to the Director of Sales & Marketing and Sales Team.

· Float throughout the community to assist with sales-related activities as needed.

· Conduct warm and cold lead calls to generate appointments and maintain engagement with prospective residents.

· Complete follow-up and appointment confirmation calls for scheduled tours and meetings.

· Assist with maintaining accurate inventory of available apartments and sales materials.

· Prepare and assemble tour packets, welcome packets, move-in packets, and other sales collateral.

· Collect required paperwork and documentation from prospects, residents, and families.

· Make copies, organize files, and maintain sales records and office supplies.

· Assist with lead management system data entry and maintaining accurate prospect information.

· Create, print, and distribute marketing flyers, promotional materials, and community announcements.

· Assist with planning, preparing, setting up, and supporting marketing events, networking events, and community outreach activities.

· Prepare outreach materials and gifts for referral partners and professional contacts.

· Conduct post-event follow-up including thank-you notes, phone calls, and relationship-building activities.

· Assist with move-in preparations, including welcome balloons and special resident welcome touches.

· Maintain model apartments and conduct routine walkthroughs to ensure apartments and tour paths remain show ready.

· Support the Welcome Committee by assisting with new resident introductions and community engagement activities.

· Assist with resident referral initiatives and other occupancy-building programs.

· Answer incoming sales calla dn greet walk-in prospects professionally.

· Provide exceptional customer service to residents, families, prospects, and visitors.

· Work collaboratively with all community departments to ensure a seamless move-in experience.

· Maintain confidentiality of resident and prospect information.

· Support the community’s mission of achieving occupancy goals while delivering exceptional customer service.

Perform other duties as assigned. 

Requirements

  

QUALIFICATIONS:

· High school diploma or equivalent required; associate’s degree in business, Marketing, or related field preferred.

· One year administrative, customer service, hospitality, or sales support experience is preferred.

· Experience in senior living, healthcare, hospitality, or customer service is preferred.

· Excellent verbal and written communication skills.

· Strong telephone etiquette and customer service skills.

· Excellent organizational skills with the ability to prioritize multiple tasks.

· Proficient in Microsoft Office Suite and ability to learn lead management software.

· Ability to maintain confidentiality and professionalism.

· Self-motivated with strong attention to detail.

· Valid driver’s license and acceptable driving record.

· Willingness to work occasional evening, weekends, and community events as needed.


PHYSICAL REQUIREMENTS / WORKING CONDITIONS:

· Frequently sits, stands, and walks throughout the community.

· Occasionally lift and carry up to 20 pounds.

· Frequent use of computers, telephone, copier, and other office equipment.

· Occasionally bends, reaches, twists, and stoops.

· Works both indoors and outdoors during community events and outreach activities.
