We're looking for a Community Operations Coordinator to join our team at Eastmark, a vibrant master-planned community in Mesa built around connection, thoughtful design, and an active community experience. In this role, you'll help uphold community standards while providing the responsive administrative support that keeps day-to-day operations running smoothly.
This is an opportunity to spend time throughout the community, build trusted relationships with residents and partners, and play an important role in maintaining the quality and character of Eastmark.

What You'll Do
Community Standards & Compliance
- Conduct community-wide compliance inspections, spending a significant portion of the workday driving throughout Eastmark to identify and document potential concerns.
- Interpret governing documents and community guidelines, prepare required correspondence, and track matters through resolution with accuracy and consistency.
- Maintain complete compliance records and support Community Concern Forms, contractor coordination, follow-up, and documentation as needed.
Transfers, Disclosures & Records
- Coordinate resale inspections and property-transfer documentation using HomeWiseDocs and other association systems.
- Respond to transfer and disclosure inquiries and partner with the Accounting Team on resale, builder-sale, and related documentation.
- Maintain the integrity of association records, files, minute books, board resolutions, and turnover documentation.
Resident & Operational Support
- Respond to resident and stakeholder questions by phone, email, and in person, providing clear information or connecting them with the appropriate team member.
- Provide administrative and project support to the Operations Team, including special projects, community meetings, events, reports, presentations, and website updates.
- Assist with the welcome process for new residents and serve as a knowledgeable resource on community governance and operations.
Design Review & Community Meetings
- Support the design review process by receiving applications, communicating guidelines, preparing meeting materials, presenting applications, and following up on decisions.
- Assist with association board and community meetings, including coordination, operational reporting, statistics, presentations, and supporting documents.
- Attend occasional after-hours meetings and events and collaborate across Cohere to share best practices and improve efficiency.
What We're Looking For
- At least three years of progressively responsible experience in customer service, administration, community management, or a related environment.
- Experience coordinating meetings and working with committees, volunteers, residents, customers, or similar stakeholder groups.
- Strong written and verbal communication skills, including the tact and judgment to explain guidelines, address concerns, and de-escalate difficult conversations.
- Excellent organization, prioritization, follow-through, and attention to detail across a high volume of calls, emails, records, and competing responsibilities.
- A collaborative, dependable, and service-minded approach, along with the initiative to work independently and make thoughtful decisions.
- Confidence using Microsoft Office, particularly Outlook, Word, and PowerPoint, with the ability to learn property-management and industry-specific systems.
- Community association management experience and knowledge of community governance are preferred but not required.
Additional Requirements
- Ability and willingness to spend a significant portion of the workday driving throughout the community to complete compliance inspections.
- Ability to work onsite in Eastmark during scheduled office hours and attend occasional after-hours meetings or events.
- Interest in community association professional development, including participation in multi-day training courses.
- Willingness to learn general accounting practices, financial statements, and budget processes.
