The Executive Assistant (EA) provides high-level administrative and strategic support to the President, while also assisting the senior leadership team as needed. This role serves as a trusted partner who ensures the President’s time is optimized, priorities are aligned, and both internal and external communications are executed with professionalism and confidentiality.
The ideal candidate is proactive, highly organized, discerning, and capable of anticipating needs in a fast-paced, executive environment.
Essential Duties and Responsibilities
Executive Support
- Draft, review, and manage correspondence on behalf of the President.
- Prepare the President for meetings by providing timely updates and assembling agendas, briefing materials, and background information.
- Manage the President’s calendar, including complex scheduling across internal and external stakeholders, optimizing time allocation for strategic priorities and resolving scheduling conflicts.
- Serve as the primary mediator of the President’s time and attention.
- Coordinate travel arrangements, itineraries, and expense reporting.
Board & Governance Support
- Assist in preparation and coordination of board and committee meetings.
- Compile board packets and ensure timely distribution of materials.
- Maintain corporate records, meeting minutes, and governance documentation.
- Track follow-up actions and ensure accountability on key deliverables.
Senior Leadership Support
- Provide coordination support for senior leadership meetings and offsites.
- Assist in organizing strategic planning sessions and leadership communications.
- Serve as a liaison across departments to facilitate alignment and execution.
Communication & Relationship Management
- Act as a professional point of contact for internal and external stakeholders, including directors, regulators, community leaders, and customers.
- Handle sensitive and confidential information with the highest level of discretion, demonstrating professional maturity and sound judgment.
- Support executive communications, including presentations, reports, and talking points.
Project & Administrative Management
- Track key initiatives and deadlines to support execution of strategic priorities.
- Improve processes and workflows to increase efficiency at the executive level.
- Maintain organized filing systems (digital and physical).
- Support special projects and initiatives as assigned.
Required
- 8+ years of experience supporting C-level executives or senior leaders
- Exceptional organizational and time management skills
- Strong written and verbal communication abilities
- High degree of professionalism, integrity, and discretion
- Strong proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint, Teams)
Preferred
- Experience in banking or financial services.
- Experience with EOS Traction.
- Experience supporting board-level governance activities
- Ability to anticipate needs and operate with minimal direction

Physical Demands:
While performing the duties of this job, the employee is regularly required to sit; use hands to finger, handle, or feel objects, tools, or controls; reach with hands and arms; and talk or hear. The employee is occasionally required to stand and walk. The employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, peripheral vision, and depth perception.
