The mission at Semmes Murphey is to provide the best care for patients suffering from neurological illnesses with advancing the field of neuroscience.
We are hiring an Accounts Payable Specialist on our administration team. This position will manage the AP process ensuring invoices are entered, approved, and paid in a timely manner.
ESSENTIAL DUTIES & RESPONSIBILITIES
- Imports invoices into accounts payable management software, including those received via mail, email, and direct imports
- Codes invoices to proper cost center(s)
- Communicates with managers and other invoice approvers to ensure invoices are approved before payment deadline
- Prepares payment batches and obtains approval signatures
- Researches past invoices, missed payments, etc., communicating with vendors as needed
- Tracks online purchases that exclude sales tax for reporting purposes
- Ensures W-9s are completed/updated for required vendors; checks all 1099s for correct tax ID number
- Completes credit applications for new vendors
- Assists in monthly closings
- Saves accounts payable reports and maintains all accounts payable files
- Manages credit card payments and accounts
- Ensures payments are processed within the third party payer system
Requirements
MINIMUM REQUIREMENTS
- High school diploma or equivalent
- Working knowledge of basic accounting principles
- Can operate fully automated AP workflows
PREFERRED
- One (1) year experience of invoice processing
KNOWLEDGE, SKILLS & ABILITIES
- Proficient in Microsoft Office (Excel, Outlook, Word), Internet software, and accounting software
- Effective communication, both oral and written, with the ability to speak clearly and persuasively in positive and negative situations while listening and responding appropriately to questions
- Organizational skills with attention to detail
- Ability to manage workflow, prioritize demands, and meet deadlines
- Can skillfully gather and analyze information
- Can identify ways to improve efficiency without sacrificing quality and service
- High level of problem solving to identify and resolve problems in a timely manner with thoroughness and accuracy
- Excellent interpersonal skills with the ability to manage difficult situations
- Add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals
- Compute rate, ratio, and percent
- Maintain a high level of confidentiality and discretion
